JOB DESCRIPTION

• Provide critical administrative and planning support that keeps operations organised, efficient, and running ahead of schedule
• Manage scheduling, booking systems, and appointment coordination for internal teams and client-facing engagements
• Prepare planning documents, workflow trackers, and resource allocation schedules that give leadership clear operational visibility
• Monitor project timelines and flag delays or conflicts early — proactively coordinating with relevant teams to keep everything on track
• Maintain well-structured digital and physical filing systems so that planning records and key documents are always easy to retrieve
• Liaise with internal departments and external partners to confirm logistics, gather updates, and ensure seamless coordination at every stage
• Support the preparation of meeting materials, action plans, and post-meeting summaries that drive accountability and follow-through
• Identify recurring administrative inefficiencies and recommend practical improvements that save time and improve planning accuracy

JOB REQUIREMENTS

• Minimum Diploma and above
• Strong organizational and multitasking skills—juggling multiple events is your superpower
• Creative problem-solving abilities and a keen eye for detail
• Excellent communication skills to liaise with vendors, speakers, and clients
• Ability to thrive in a fast-paced, high-energy environment
