Job Description - Procurement cum Administrative Assistant

We are looking for a detail-oriented team player with great communication skills and positive attitude to join our team at the HQ. Your main responsibility will be to order supplies and equipment in accordance with our company’s needs.

This will involve researching new vendors, tracking deliveries, and maintaining accurate order records. Familiarity with supply chain procedures and the ability to create and interpret cost analyses are of an advantage. Your goal will be to make cost-effective purchases while ensuring our inventory remains well-stocked.

Job Description

Purchasing

Gather list of suppliers in line with selection processes

Evaluate offers from vendors and negotiate better prices

Purchase supply of products/materials.

Determine the lowest cost for products/materials.

Communicate with vendors, team members, and managers to align goals

Support procurement activities based on product specifications and company needs.

Prepare requisitions and purchase orders and monitor order expenses

Liaise with Accounts Department for invoice processing, filing and issue payments

Create and maintain filing systems, both electronic and physical

Tracking orders and ensuring timely delivery

Follow up with suppliers, as needed, to confirm or change orders

Update internal databases with order details (dates, vendors, quantities, discounts)

Administrative

Update daily sales record of multiple branches

Prepare communications, such as memos, emails and other correspondence directed by Group Operation Manager to all retails managers/supervisors

Carries out administrative duties such as filing, copying, binding, scanning etc.

Maintains supplies inventory by checking stock to determine inventory level and anticipating needed supplies

Provides administrative support to ensure efficient operation of retail outlets

Liaise with warehouse staff to ensure all products arrive in good condition

Requirements

Committed, meticulous and keen learner with positive attitude

Well organized in a manner that is easily read by others

Trustworthy and discreet when dealing with confidential information

Desire to be proactive and create a positive experience for others

Able to multitask, prioritize, and manage time efficiently

Experienced at compiling and following strict budgets

Ability to work as part of a team and take direction accurately

Able to handle any other ad-hoc duties as and when assigned
