Job Description - Sales Admin cum Halal Assurance Officer (Operations & Customer Service)

Join Singapore’s leading homegrown cake brand! Emicakes is seeking a dynamic, detail-oriented Admin cum Halal Assurance Officer. This hybrid role combines daily administrative operations, front-facing customer service, and the maintenance of our internal Halal Assurance System (HAS) to ensure strict compliance with MUIS Halal Certification standards. You will serve as a vital link between our customers, administrative workflow, and production floor.

Key Responsibilities:

1. Customer Service & Order Management

  • Handle incoming customer inquiries, phone calls, and corporate orders in a polite and professional manner.
  • Process daily cake orders, custom requests, and delivery schedules accurately within the internal database system.
  • Coordinate efficiently with delivery driver to ensure accurate, on-time island-wide delivery.
  • Address and resolve any customer feedback, order changes, or delivery issues promptly.

2. Halal Compliance & Audit Readiness

  • Maintain up-to-date documentation for the Halal Assurance System (HAS) and keep records for regulatory inspections.
  • Track and monitor the expiry dates of MUIS Halal certificates for all raw materials, ingredients, and suppliers.
  • Coordinate directly with suppliers to retrieve updated Halal certifications for new and existing product lines.
  • Assist during official MUIS audits, conduct routine production floor walkabouts, and ensure proper raw material segregation.

3. General Office Operations & Admin Support

  • Prepare operational paperwork including quotations, invoices, purchase orders (PO), and delivery orders.
  • Monitor administrative and office supply inventory levels and handle standard data entry tasks.
  • Support cross-functional communication between production, QA, and retail management staff.
  • Execute ad-hoc office coordination and administrative tasks as assigned by management.

Preferred Competencies and Qualifications:

  • Education: Minimum GCE 'O' Level, NITEC, or Diploma in Business Administration, Food Science, or a related field.
  • Experience: Prior experience in F&B operations, general administration, or a customer-facing role is highly preferred.
  • Halal Certification: Possession of a valid MUIS Halal Competency Assessment (HCA) certificate is a major advantage (training will be sponsored for promising candidates).
  • Skills: Proficient in Microsoft Office (Word, Excel, Outlook) with quick, accurate data entry skills.
  • Attributes: Strong verbal and written communication skills, meticulous attention to detail, and a highly responsible work attitude.
  • Must be able to work under fast-paced F&B manufacturing
