We are seeking a highly organised and detail-oriented Sales Administrator to support our Sales & Business Development team. In this role, you will play a key part in ensuring the smooth execution of the sales process by managing quotations, sales orders, customer documentation, CRM records, and tender submissions.
You will work closely with Sales, Operations, Finance, and Logistics teams to ensure timely order fulfilment, accurate documentation, and excellent customer support. This role is ideal for someone who thrives in a fast-paced environment and enjoys coordinating multiple priorities while maintaining a high level of accuracy.
Key Responsibilities
Prepare and process quotations, commercial proposals, and sales documentation.
Manage sales orders from receipt to delivery, ensuring timely and accurate processing.
Maintain accurate customer records, opportunities, and sales activities within the CRM system.
Support tender and RFP submissions by preparing compliance documents and required administrative paperwork.
Coordinate with Sales, Operations, Finance, Logistics, and other internal stakeholders to ensure smooth order fulfilment.
Generate sales reports, commission reports, and other administrative reports as required.
Monitor documentation accuracy and ensure all commercial records are complete and compliant.
Respond promptly to internal and customer enquiries regarding quotations, orders, and documentation.
Assist in improving sales administration processes and maintaining efficient workflows.
Requirements
Diploma or Degree in Business Administration, Sales, Marketing, or a related discipline.
Minimum 1–3 years of experience in Sales Administration, Sales Support, Order Processing, or a similar administrative role.
Proficient in Microsoft Office applications (Excel, Word, and PowerPoint) and CRM systems such as HubSpot, Salesforce, or Zoho. Familiarity with ERP systems is an advantage.
Strong understanding of sales processes, documentation workflow, and order lifecycle, with excellent attention to detail and organisational skills.
Ability to work effectively with cross-functional teams and manage multiple priorities within tight deadlines.
Experience in tender submissions, contract administration, logistics documentation, inventory coordination, or commission reporting will be an added advantage.
Prior experience in the technology, engineering, robotics, IoT, or facilities management industry is preferred but not essential.
A proactive, customer-focused team player with excellent communication skills and a commitment to continuous process improvement.
