Job Summary

We are looking for a dependable , proactive and meticulous Sales & Operations Executive to support our sales and operations team. This role requires you to support sales and operations by processing orders, coordinating deliveries, managing documentation, and liaising with teams and customers to ensure timely and accurate order fulfillment.

Responsibilities

• Process customer Purchase Orders into Sales Orders promptly according to approved quotations and report discrepancies to Sales Manager for resolution
• Generate Delivery Orders, Sales Invoices, Packing Lists, and Shipping documents accurately
• Maintain organized hardcopy and electronic filing systems for all sales and shipping documents
• Coordinate delivery schedules with logistics and warehouse teams to track shipments and ensure inventory availability to meet customer deadlines
• Communicate delivery timelines and requirements clearly with customers
• Manage Cash on Delivery (COD) process by ensuring payment is received before goods collection or delivery and follow up closely with customers
• Perform general administrative tasks including updating Excel sheets, managing customer online portals, answering phone calls, and attending to walk-in customers
• Execute any other ad hoc tasks assigned by Management

Preferred competencies and qualifications

• Minimum Nitec or Diploma in Business Administration, Logistics, or related field
• 1 to 2 years of experience in sales coordination, logistics, or operations support
• Proficient in Microsoft Office applications; experience with accounting software or ERP systems is an advantage
• Demonstrate proactivity, attention to detail, and ability to work collaboratively in a team
• Communicate effectively in English and Chinese
• Exhibit strong interpersonal skills to work well with internal teams and external customers
