Job Summary

The Sales Operations Coordinator supports the sales team by managing quotations, sales orders, customer documentation, CRM records, project coordination, and administrative processes. This role collaborates with Sales, Finance, Procurement, Logistics, and Project teams to ensure operational excellence and customer satisfaction.

Responsibilities

  • Prepare accurate quotations, proposals, and tender documentation to support sales efforts
  • Process sales orders promptly and ensure precise order entry into systems
  • Coordinate sales activities and assist the sales team throughout the entire sales cycle
  • Maintain and organize customer records, contracts, and sales documentation for easy retrieval and compliance
  • Monitor project delivery schedules and communicate updates to customers to ensure transparency
  • Serve as the primary liaison between customers and internal departments to facilitate smooth communication
  • Respond promptly to customer inquiries regarding quotations, orders, project schedules, and documentation
  • Follow up on customer requests to ensure timely resolution and satisfaction
  • Assist in preparing tender submissions and gather supporting documents to meet requirements
  • Coordinate with suppliers to obtain pricing and product information for accurate tender and sales support
  • Track project documentation and ensure compliance with internal and external requirements
  • Liaise with Finance to support invoicing processes and resolve billing issues
  • Coordinate with Procurement and Operations teams to confirm product availability and delivery schedules
  • Support management with various administrative tasks to enhance operational efficiency

Required competencies and certifications

  • NITEC or Diploma in Business Administration, Sales & Marketing, Management, or related disciplines
  • 1-2 years of experience in Sales Administration, Sales Coordination, Sales Support, or Sales Operations

Preferred competencies and qualifications

  • Proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Outlook
  • Strong organizational skills to manage multiple tasks and deadlines effectively
  • Effective communication and interpersonal skills to engage with customers and internal teams
  • High attention to detail to ensure accuracy in documentation and order processing
  • Ability to work independently with minimal supervision
