$2,000 - 2,500 monthly

Job Description - Sales Support Executive (IT industry)

Monthly Salary: UP to $2500 (Negotiable)

Working Address: Ubi

Working Hours: Monday to Friday. 9AM - 6PM.

Responsibilities and Duties

Sales Administration & Quotation Support

  • Prepare sales quotations based on information provided by Sales Managers and Presales.

  • Ensure all quotations are accurate, complete and comply with company pricing policies.

  • Generate quotation reference numbers and maintain quotation records.

  • Coordinate quotation revisions and version control.

  • Follow up internally for quotation approvals where applicable.

  • Assist in preparing renewal quotations for maintenance contracts and software

  • subscriptions.

  • Support tender and proposal documentation when required

CRM Administration

  • Create and maintain customer records in the CRM system.

  • Ensure CRM data is complete, accurate and up to date.

  • Remove duplicate records and maintain data quality.

  • Update account ownership and sales activities as instructed by the Sales Team.

  • Generate CRM reports for management when required

Sales Coordination

  • Coordinate communication between Sales Managers, Presales, Vendors and Distributors.

  • Track quotation status and assist in following up pending quotations.

  • Monitor quotation validity and remind Sales Managers of expiring quotations.

  • Assist in coordinating customer meetings where required.

  • Maintain customer documentation and sales files.

Vendor & Distributor Coordination

  • Request pricing from vendors and distributors.

  • Obtain special pricing approvals.

  • Request product availability and lead times.

  • Coordinate product registration where applicable.

  • Maintain vendor price lists and distributor contact information

Marketing & Event Support

  • Coordinate company marketing events, seminars, webinars and workshops.

  • Assist in event registration and attendee management.

  • Coordinate venue bookings and logistics.

  • Prepare marketing materials and event kits

  • Liaise with vendors for event sponsorship.

  • Assist in post-event follow-up activities.

  • Maintain event attendance records in the CRM

Documentation & Record Management

  • Maintain quotation archives.

  • Maintain customer correspondence records.

  • Ensure proper document version control.

  • Support ISO or internal documentation requirements where applicable.

Reporting & Administration

  • Prepare weekly quotation reports.

  • Prepare CRM activity reports.

  • Assist in generating sales pipeline reports.

  • Track quotation conversion statistics.

  • Support monthly management reporting

General Commercial Support

  • Support Sales Managers and Presales with administrative tasks.

  • Assist in onboarding new vendors and distributors.

  • Coordinate sample requests and demonstration equipment.

  • Perform other duties assigned by the Commercial Manager

Qualification and Requirements

  • Diploma or Degree in Business Administration, Marketing, Sales or IT 

  • Basic understanding of the IT, networking, cybersecurity, or technology industry would be an advantage.

  • 1–3 years of experience in sales support or sales administration

  • Proficient in Microsoft Office (Excel, Word, PowerPoint and Outlook)

  • Experience in using CRM systems is preferred

  • Strong attention to detail and a high level of accuracy

  • Able to manage multiple quotations, requests and deadlines simultaneously.

  • Proactive and responsive in supporting Sales Managers and Presales teams.

  • Able to coordinate effectively with customers, vendors, distributors and internal departments

  • Experience preparing quotations and coordinating vendor or distributor pricing.

  • Experience maintaining CRM data and generating basic sales reports

  • Ability to work in a fast-paced environment and support multiple Sales Managers and Presales Consultants.
