Job Description - Secretary

About the Role:

We are seeking a highly organized and proactive Secretary to provide dedicated administrative and executive support to the Senior Executive. The ideal candidate will ensure smooth day-to-day operations, maintain confidentiality, and facilitate effective communication across all levels of the organization.

Key secretarial support area: Chairman, CEO, CFO

Key Responsibilities:

  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Manage calendars, schedules, travel arrangements, and appointments for the Executive Management.
  • Handle emails, letters, packages, phone calls, and other correspondence professionally and promptly.
  • Prepare, edit, and format reports, proposals, presentations, and other documents.
  • Maintain and update databases, records, and filing systems (financial, personnel, and administrative).
  • Monitor office supplies inventory and place orders when necessary.
  • Organize meetings, take minutes, and follow up on action items.
  • Act as a liaison between the Executive Management and internal/external stakeholders.
  • Ensure confidentiality of sensitive information and documents.

Requirements:

  • Proven experience as an Office Administrator, Office Assistant, Secretary, or in a similar role.
  • At least 10 years of relevant administrative experience preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities with attention to detail.
  • Familiarity with office management systems and procedures.
  • Proficient in Microsoft Office applications, especially PowerPoint and Excel.
  • Ability to multitask, prioritize workload, and work under pressure.
  • High level of integrity, discretion, and professionalism.

Preferred Attributes:

  • Experience supporting senior executives or C-suite leaders.
  • Strong problem-solving skills and ability to work independently.
  • Professional demeanor and positive attitude.
