Job Description - Trade Documentation Executive

Job Summary

  • The Trade Documentation Executive is responsible for managing all export and import-related paperwork to ensure seamless international trade operations. This role involves preparing shipping documents, managing Letters of Credit (LCs), and ensuring strict compliance with international trade laws and Incoterms to prevent shipment delays and financial discrepancies.

Key Responsibilities

1. Documentation &Record Keeping

  • Prepare and review essential trade documents: Commercial Invoices, Packing Lists, Bills of Lading (B/L), and Certificates of Origin (COO).
  • Manage specialized certificates such as Phytosanitary, Quality/Quantity (SGS), and Insurance certificates.
  • Maintain accurate electronic and physical archives of all trade contracts and supporting documents for audit purposes.

2. Trade Finance &LC Management

  • Handle end-to-end Letter of Credit (LC) processes, including reviewing LC terms, drafting applications, and requesting amendments.
  • Ensure all documents presented to banks for negotiation/discounting are strictly compliant with LC terms to avoid bank discrepancies.
  • Monitor payment statuses and coordinate with the finance team for trade settlements.

3. Logistics &Stakeholder Coordination

  • Liaise with shipping lines, freight forwarders, and customs brokers to schedule shipments and track cargo status.
  • Communicate daily with buyers, suppliers, and surveyors to ensure documentation requirements are met and issues are resolved quickly.
  • Coordinate with internal departments (Sales, Operations, and Finance) to align documentation with physical trade flows.

4. Compliance &Regulatory Oversight

  • Ensure adherence to international trade regulations, Sanctions/AML screenings, and Incoterms 2020.
  • Verify HS Codes and duty implications for various commodities.

Required Qualifications & Skills

Education

  • Diploma in Business, International Trade, Logistics, or Supply Chain Management.

Experience

  • 2–5 years in trade documentation or export/import operations, experience in commodities like CPO is  preferred.

Technical Knowledge

  • Deep understanding of UCP 600, Incoterms, and LC negotiation.

Software

  • Proficiency in MS Office (Excel/Word) and ERP systems (e.g., SAP, Oracle, Odoo).

Soft Skills

  • Exceptional attention to detail, ability to work under tight shipping deadlines, and strong cross-cultural communication skills.

Work Environment

  • Primarily office-based.
