Facilities Operation Coordinator #ESY

·        To provide a centralized administrative andtransactional support across the integrated Soft, Security and Engineeringfunctions.

·        This role ensures contractual compliance throughrigorous invoice processing, performance data consolidation, Single CentralRecord, licensing and contract lists, and maintaining the “Audit-Ready” statusof the Facilities, Cafe and Transport Operations sections.

·        End-to-end processing of invoices, ensuringthree-way matching between Vendor Invoices, Service Entry Sheets and Purchaseorders.

·        Liaise with Finance Department to track agingreports and resolve payments discrepancies for both fixed and ad-hoc(non-fixed) resources.

·        Consolidate monthly Service Level Agreement(SLA) and Key Performance Indicator (KPI) data from various service streams

·        Ensuring timely submission of performancereports from Integrated Service Vendors and verifying data accuracy againston-site proof- of-presence tools.

·        Tracking penalties/incentives structures basedon the structured performance model.

·        Maintain Digital Document Library such as GoogleDrive and Sharepoint for all maintenance regimes, service reports and safetycertifications.

·        Coordinating staff attendance and trainingrecords for the on-site team

·        Monitoring and following of Single CentralRecord and ensuring updated records.

·        Provide card printing support on seasonal basis.

·        Process, evaluate and monitor bus charteringinvoices and catering invoices

·        Provide activities and events support

·        Execute any related works assigned as requiredby Facilities Director
