HR & Facilities Support Coordinator

Job Purpose

To support the Human Resources and Facilities Operations departments by coordinating workforce deployment, monitoring site employees, maintaining HR records, and ensuring smooth day-to-day facilities support operations.

Key Responsibilities

Human Resources

• Assist with employee onboarding and orientation.
• Monitor employee attendance, punctuality, and leave records.
• Maintain personnel files and HR documentation.
• Coordinate training, medical appointments, and safety briefings.
• Assist with recruitment, interviews, and staff deployment.
• Handle employee enquiries and welfare matters.
• Prepare HR reports and maintain staff records.

Facilities Support

• Monitor daily attendance and deployment of site workers.
• Conduct site inspections to ensure work quality and compliance with company SOPs.
• Coordinate with site supervisors and clients on operational matters.
• Monitor housekeeping and facilities support activities.
• Ensure workers comply with Workplace Safety & Health (WSH) requirements.
• Arrange manpower replacement when required.
• Prepare daily operational and manpower reports.
• Monitor cleaning equipment, PPE, and inventory.

Administration

• Prepare monthly attendance summaries.
• Maintain records of uniforms, tools, and equipment issued.
• Coordinate transport and accommodation arrangements where required.
• Support management with administrative and operational tasks.

Requirements

• Diploma or equivalent qualification.
• Experience in team supervision, housekeeping, facilities, or operations.
• Good communication and interpersonal skills.
• Basic Microsoft Office knowledge (Excel, Word, Outlook).
• Ability to coordinate multiple work sites and manage staff schedules.
• Strong organisational and reporting skills.
