Project Coordinator[ West/interior fitting out / renovation]

Reporting to:

Project Manager

Responsible for assisting the Project Manager and Project Directors in site coordination, execution, monitoring, and control of daily site operations to ensure projects are completed safely, on schedule, and in accordance with specifications and quality standards.

Duties & Responsibilities

1. Prepare and submit weekly manpower (man-day) reports.
2. Provide daily site updates and progress reports, including site photographs, and submit weekly progress reports to management.
3. Conduct regular site inspections and follow up on corrective actions to ensure compliance with safety standards.
4. Organise and conduct toolbox meetings.
5. Implement and monitor safety management systems at site.
6. Verify subcontractors’ worker identification and ensure valid permits for site access.
7. Supervise and organise workers’ schedules, ensuring clear instructions are given before deployment to job sites.
8. Monitor site progress closely and alert the Project Manager/Site Supervisor of deviations from the work schedule.
9. Coordinate subcontractors, nominated subcontractors (NSC), and suppliers on site work activities.
10. Obtain approval from QS/PM/Site Supervisor on quotations prior to work commencement and provide value engineering recommendations.
11. Conduct factory inspections and quality checks on materials and furniture prior to site delivery.
12. Coordinate and resolve site issues with clients, architects, consultants, subcontractors, and suppliers on a daily basis.
13. Coordinate and verify all deliveries to site for correct quantity, condition, and compliance with specifications.
14. Manage documentation and submissions to building management and relevant authorities, including permits, drawings, and personnel lists.
15. Verify, inspect, and certify subcontractors’ and suppliers’ works on site.
16. Review and coordinate M&E design details with the Project Manager and consultants to ensure system completeness and functionality.
17. Manage M&E works to ensure compliance with approved designs, materials, workmanship standards, and contract specifications.
18. Provide AutoCAD drafting support when required.
19. Ensure safety standards, housekeeping practices, and compliance with OHSAS/ISO requirements are maintained on site.
20. Attend weekly and fortnightly company meetings.
21. Participate in ad hoc projects and perform additional duties as assigned.
22. Participate actively in OHSAS/ISO programmes and initiatives.
23. Prepare technical drawings from sketches and specifications provided by engineers and architects.
24. Specify dimensions, materials, and procedures for new products and installations.
25. Prepare multiple design options for review by engineers and architects.
26. Produce layout and construction drawings using CAD software.
27. Draft drawings for structures, components, and systems.
28. Prepare technical diagrams in accordance with given specifications.
29. Assist and coordinate with designers and engineers throughout project execution.
30. Prepare drawings for sheet metal components and fabrication works.
31. Prepare drawings for electrical devices and installations.
32. Collaborate with designers, engineers, and subcontractors on project deliverables.
33. Calculate dimensions, tolerances, and material allowances accurately.
34. Compile technical data sheets and specifications.
35. Revise drawings and layouts to accommodate design changes and improvements.
36. Incorporate safety requirements and constructability considerations into drawings and installations.
37. Perform other duties as assigned by management.
