Job Description - Workforce Administrative Assistant

COMPANY DESCRIPTION

We are one of the largest one-stop Underground Utilities Infrastructure companies based in Singapore. We provide Underground Utilities Infrastructure construction and maintenance, sewer pipeline rehabilitation, road and airfield construction and maintenance as well as asphalt pre-mix production and construction waste recycling.

RESPONSIBILITIES

We are seeking a highly organised and proactive Workforce Administrative Assistant to support manpower administration and records management. The successful candidate will be responsible for maintaining accurate manpower deployment records and providing essential administrative support to ensure smooth workforce operations.

Roles and Responsibilities

Manpower Administrative Support

  • Maintain and update manpower database and application-based records (e.g. AppSheet or equivalent systems).
  • Monitor and track expiry of worker-related certifications and training records in the system.
  • Prepare manpower reports for management review and operational planning.
  • Assist in consolidating documents required for IPA (In-Principle Approval) applications for workers.
  • Ensure manpower records and documentation are maintained in accordance with company policies and relevant regulatory requirements.
  • Liaise with workers to obtain and verify required documentation.
  • Raise training requisitions for team formation, upskilling, and workforce replacement needs.
  • Support general administrative duties and ad-hoc tasks as assigned by management.
  • Assist in coordination and execution of company events when required.
  • Perform any other duties as assigned by the immediate supervisor or Head of Department.
QUALIFICATIONS
  • Minimum GCE "O" Level or equivalent.
  • Minimum 1-2 years of relevant administrative experience.
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
  • Familiarity with digital record systems or database tools (e.g. AppSheet) will be an advantage.
  • Strong organisational and time management skills with the ability to handle multiple priorities.
  • High attention to detail and accuracy in data handling and documentation.
  • Good communication skills for effective coordination with internal stakeholders.
  • Able to work independently as well as in a team environment.

  • Work Schedule: 5-day work week
  • Location: Office at No. 3 Sungei Kadut Drive, Singapore 729556 (North Singapore)
