Job Description & Requirements
Administration and Operational Management:
Work closely with the Clinic Director and administrative team to execute efficient and proper operations at the clinic, fostering a collaborative and supportive environment.
Develop, implement, and enforce standard operating procedures to ensure consistency and quality across all clinic functions, including patient registration, queue management, dispensing of medications, invoicing and collection of payments, submission of insurance claims, management of drug inventory, and general housekeeping.
Oversee day-to-day administrative tasks to ensure smooth clinic operations, including scheduling staff shifts, managing appointments, coordinating meetings, and handling incoming inquiries.
Utilize electronic medical record (EMR) systems and other software platforms to maintain accurate patient records, track inventory levels, generate reports, and streamline administrative processes.
Monitor and analyze clinic performance metrics, such as patient satisfaction scores, appointment wait times, and revenue targets, to identify areas for improvement and implement strategic solutions.
Patient Services and Experience:
Ensure excellent service for our patients by maintaining a welcoming and professional clinic environment, addressing patient concerns promptly and effectively, and striving to exceed expectations.
Train and supervise administrative staff to deliver exceptional customer service and adhere to clinic protocols, providing ongoing support and feedback to promote professional growth and development.
Implement patient engagement initiatives, such as reminder calls, follow-up emails, and satisfaction surveys, to enhance the overall patient experience and foster long-term relationships.
Collaborate with the clinical team to coordinate patient care and optimize workflow efficiency, ensuring timely and accurate communication between administrative and clinical staff members.
Inventory and Resource Management:
Manage medication, consumables, and equipment inventory by overseeing procurement, storage, distribution, and replenishment processes, ensuring adequate supply levels while minimizing waste and excess.
Conduct regular inventory audits and reconcile discrepancies to maintain accurate inventory records and prevent stockouts or overstock situations.
Negotiate contracts with suppliers and vendors to secure competitive pricing and favourable terms for clinic supplies and services, optimizing cost-effectiveness and budget allocation.
Implement cost-saving initiatives and efficiency measures to maximize resource utilization and minimize operational expenses, contributing to overall clinic profitability and sustainability.
Compliance and Regulatory Oversight:
Ensure compliance with all relevant healthcare regulations, industry standards, and ethical guidelines, including HIPAA privacy laws, OSHA safety regulations, and insurance billing requirements.
Stay informed about changes in healthcare legislation, industry trends, and best practices in clinic administration, participating in continuing education opportunities and professional development activities as needed.
Collaborate with legal counsel, regulatory agencies, and accreditation bodies to maintain accreditation status and address any compliance issues or audit findings in a timely and appropriate manner.
Conduct regular risk assessments and implement risk mitigation strategies to safeguard patient safety, protect clinic assets, and mitigate potential liabilities.
Leadership and Team Development:
Provide strong leadership and mentorship to administrative staff members, fostering a culture of accountability, collaboration, and continuous improvement.
Recruit, onboard, and train new team members, ensuring alignment with clinic values, policies, and performance expectations.
Conduct regular performance evaluations and performance discussions with staff, recognizing achievements, identifying areas for improvement, and providing constructive feedback and coaching.
Foster a positive work environment that promotes teamwork, communication, and employee engagement, celebrating successes and addressing challenges in a transparent and constructive manner.
