Job Summary
We are seeking a proactive and experienced Operations Supervisor to oversee the day-to-day operational activities of our freight forwarding and logistics business. The successful candidate will be responsible for ensuring smooth execution of end-to-end logistics operations, including airfreight, sea freight, land transportation, customs clearance, warehousing, distribution, project logistics, and customer service support. The Operations Supervisor will lead operational teams, coordinate with customers, carriers, vendors, and regulatory authorities, and ensure that all shipments are handled efficiently, cost-effectively, and in compliance with company standards and local regulations.
Responsibilities
Operations Management
Supervise daily freight forwarding and logistics operations across air, ocean, and land transportation to ensure seamless service delivery
Monitor shipment movements to guarantee timely pickup, transit, customs clearance, delivery, and completion of shipments
Coordinate with airlines, shipping lines, transport providers, warehouses, and overseas agents to maintain operational flow
Oversee import, export, cross-trade, and transshipment shipments to meet customer and regulatory requirements
Prepare and process shipping documentation accurately, including Bills of Lading, Air Waybills, permits, and customs declarations
Manage warehousing, inventory control, cargo handling, and distribution activities to optimize operational efficiency
Resolve operational issues, shipment delays, cargo discrepancies, and customer escalations promptly to maintain service quality
Team Leadership
Lead, supervise, and motivate operations staff to achieve departmental objectives and maintain high performance
Allocate workload and resources effectively to maximize operational efficiency
Provide coaching, training, and performance guidance to develop team capabilities
Conduct regular team meetings and monitor employee performance to ensure alignment with goals
Customer Service & Stakeholder Management
Maintain strong relationships with customers, vendors, carriers, and business partners to support business growth
Ensure customer requirements and service level agreements (SLAs) are consistently met
Respond professionally and promptly to customer inquiries and operational issues
Collaborate closely with Sales and Customer Service teams to enhance customer retention and satisfaction
Compliance & Quality Assurance
Ensure compliance with Singapore Customs regulations, trade compliance requirements, and industry standards
Adhere to workplace safety, security, and operational procedures to maintain a safe working environment
Monitor and maintain service quality, operational KPIs, and customer satisfaction metrics
Support internal and external audits as required to uphold regulatory and company standards
Process Improvement
Identify opportunities to improve operational efficiency and reduce costs through analysis and innovation
Implement best practices and standard operating procedures (SOPs) to standardize workflows
Monitor operational performance and prepare management reports to inform decision-making
Participate in digitalisation and process automation initiatives to enhance operational capabilities
Required competencies and certifications
Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or related discipline
Minimum 3–5 years of experience in freight forwarding, logistics, or supply chain operations
Experience handling air freight, sea freight, customs clearance, transportation, and warehousing operations
Preferred competencies and qualifications
At least 1–2 years of supervisory or team leadership experience
Strong understanding of freight forwarding processes and international trade documentation
Familiarity with Singapore Customs regulations
Knowledge of Incoterms, shipping practices, and supply chain operations
Proficient in Microsoft Office applications and freight forwarding/logistics management systems
Strong leadership, communication, and interpersonal skills to effectively manage teams and stakeholders
Excellent problem-solving and decision-making abilities to resolve operational challenges
Ability to work under pressure and manage multiple priorities efficiently
