Job Description - Patient Service Executive (Front Desk)

Job Overview

We are seeking a warm, detail-oriented Patient Service Executive (Front Desk) to support daily operations at our diagnostic imaging centres. You will be the first point of contact for patients onsite, ensuring a smooth registration, payment, and overall patient experience through professional service and positive engagement.

Key Responsibilities

•Register patients accurately and efficiently using the clinic system

•Attend to walk-in patients and handle general enquiries professionally

•Verify patient details, referrals, and scan orders before proceeding

•Coordinate with radiographers and clinic teams to ensure smooth patient flow

•Assist in appointment confirmation, rescheduling, and queue management

•Process billing, payments, and issuance of receipts

•Ensure reports, images, and CDs/USBs are prepared and dispatched correctly

•Guide patients on downloading and using the patient portal where applicable

•Handle phone calls and support booking enquiries when required

•Maintain cleanliness and organisation of the front desk and waiting area

•Adhere to PDPA and internal confidentiality guidelines at all times

Service & Front Desk Etiquette

•Greet every patient with a smile, eye contact, and a warm greeting (e.g. “Good morning, how may I assist you?”)

•Maintain professional body language and remain attentive at all times

•Communicate clearly and politely using simple, patient-friendly language

•Practice active listening, confirm details, and avoid interruptions

•Show empathy and patience, especially for elderly or anxious patients

•Handle difficult situations calmly and professionally without confrontation

•Maintain a neat, well-groomed, and approachable appearance

•End each interaction positively (e.g. “Thank you, please take a seat. We will call you shortly.”)

Requirements

•Minimum GCE ‘N’/‘O’ Levels, Diploma preferred

•Prior experience in front desk, customer service, or healthcare setting preferred

•Experience in patient registration, billing, or clinic operations is an advantage

•Good communication and interpersonal skills with a pleasant disposition

•Strong attention to detail, especially in patient information and documentation

•Ability to multitask and work in a fast-paced environment

•Comfortable using clinic systems and basic computer applications

•Able to handle difficult situations calmly and professionally

•Team player with a service-oriented mindset
