Job Summary
The Sales Operations Executive is responsible for managing customer enquiries, preparing accurate quotations, and ensuring timely fulfillment of customer orders to support business growth and customer satisfaction.
Responsibilities
Respond promptly to customer enquiries across multiple channels to provide accurate information and solutions
Prepare detailed quotations based on customer requests received via phone, email and fax to facilitate sales conversion
Source and confirm stock availability to meet customer demands efficiently
Organize and maintain quotation records to ensure accurate documentation and easy retrieval
Assist in creating and managing new customer accounts to expand the customer base
Receive and verify customer purchase orders against quotations, converting them into sales orders to ensure order accuracy
Coordinate the export process of goods to overseas customers, ensuring compliance with relevant regulations
Print and process Medical Chest certificates to support customer compliance requirements
Liaise with Maritime Port Authority of Singapore (MPA) for certificate endorsement.
Produce special product labels as required by customers to meet specific product identification needs
Manage Controlled Drugs orders by printing signed orders and following up to collect signed confirmations from customers
Collaborate with internal departments to arrange collection of expired goods from customers and prepare disposal certificates to ensure safety and compliance.
Address customer enquiries regarding product requirements and logistical arrangements to enhance service delivery
Handle customer feedback and complaints related to products and delivery, resolving issues to maintain customer satisfaction
Required competencies and certifications
Diploma or higher qualification in a related field
Computer literacy to manage digital documentation and communication effectively
Preferred competencies and qualifications
Qualification in Pharmaceutical Science and/or prior experience with pharmaceutical products or medical devices to enhance product knowledge and customer support
Strong customer service skills demonstrated through effective communication and problem resolution
Good organizational skills to manage multiple tasks and maintain accurate records
Ability to work 5.5 days per week with alternate Saturdays off, demonstrating commitment and flexibility
Responsible, committed, and able to collaborate effectively as a team player
