Job Description - Warehouse Customer Service Executive

Job Summary

Coordinate warehouse customer service activities by managing customer orders, inventory transactions, shipment arrangements, and communication between customers, warehouse operations, and transport teams to ensure accurate and timely order fulfilment.

Key Responsibilities

  • Process customers' inbound and outbound warehouse orders accurately in the Warehouse Management System (WMS).
  • Coordinate with warehouse operations to ensure timely receiving, storage, picking, packing, and delivery of customers' orders.
  • Act as the primary point of contact for customers on order status, inventory enquiries, shipment arrangements, and service requests.
  • Monitor inventory movements and maintain accurate stock records.
  • Prepare and verify delivery orders, packing lists, invoices, and other warehouse-related documents.
  • Coordinate with transport providers to arrange timely deliveries and collections.
  • Investigate and resolve customer enquiries, inventory discrepancies, delivery issues, and service-related problems.
  • Ensure all customer requests and warehouse transactions are completed within the agreed service levels (SLAs).
  • Support stock take activities and inventory reconciliation.
  • Work closely with Warehouse, Transport, Sales, and Finance teams to ensure smooth order fulfilment.
  • Prepare operational and customer service reports as required.
  • Ensure compliance with company SOPs, customer requirements, and safety regulations.
  • Perform any other duties assigned by the Manager.

Requirements

  • Diploma or Bachelor's Degree in Logistics, Supply Chain, Business Administration, or a related discipline.
  • Minimum 2 years of customer service experience in warehousing, contract logistics, 3PL, or freight forwarding.
  • Experience using Warehouse Management Systems (WMS) and Microsoft Office applications.
  • Strong customer service mindset with excellent communication and interpersonal skills.
  • Good problem-solving skills with strong attention to detail.
  • Ability to work in a fast-paced environment and manage multiple priorities.
