Responsibilities
Basic Function
The Administrator performs office tasks associated with logistical (personnel) and administrative support for Directors and Administrative Manager.
Primary Duties and Responsibilities
Operations / Project Management Support
- Assist the Operations Administrator as needed.
- Liaise with other Regional Business Units (RBU) for travel and accommodation requirements for Directors and other staff.
- Apply/Obtain all necessary Visas for staff personnel as necessary.
- Tracking Directors personnel movements. Flight reservation or vacation schedules.
- Assisting in Purchase order and invoicing for office.
- Arrange flights, accommodation and transportation for directors and business trip for personnel.
- Liaise with logistics (equipment) coordinator related to general operations whenever necessary.
- Application of Foreign worker employment passes. Make sure passes are valid within the employment period.
- Processing of quotations from Suppliers.
Financial
- Checking travel, hotel agency and suppliers’ invoices.
- Arranging Purchase Orders for all hotels, and travel & transportation.
- Issue Purchase Orders and Material Requisition for approved supplier quotations on behalf of Directors and Administrative Manager
Administration
- Update/Maintain Executive Admin. records.
- Collect and check all staffs work records and prepare monthly summary report.
- Prepare contracts with freelance divers & technicians.
Specific Additional Duties
- Actively participate in adherence to and improvement of the Company’s Business Management System on QHSE related issues.
- Be responsible for any other such tasks and duties as shall be assigned.
- Answer incoming phone calls, taking messages, etc.
- Dispatch outbound documents, preparing airway bill and proforma invoices.
- Reception work, receiving, recording and distributing invoices for Directors.
Principal Working Relationships
- Work with Directors and Managers to effectively administer office operations.
- Process approval for supplier invoices.
Requirements
- Candidate must have Minimum At least 3 years’ experience in similar work functions
- Candidate with Knowledge of Quality, Health, Safety, and Environmental Management Systems.
- Candidate must be Meticulous and attention to details
