Job Description - Senior Facilities Manager — Mission-Critical Facilities

Role Summary

This is a senior role running the facilities and maintenance operations at a client's critical site. You will manage the site every day, keep the systems running, and make sure the service meets what was agreed in the contract.

You will also help the company win more work. This means growing the current contract, and bringing in new facilities management contracts.

About two-thirds of the role is operations and maintenance. About one-third is business development.

Responsibilities

Site Operations and Maintenance

  • Lead a team of engineers, supervisors, technicians and subcontractors.
  • Plan and supervise all maintenance work — planned preventive maintenance, breakdown repairs, and condition-based checks.
  • Make sure all maintenance, testing, inspection and replacement work follows the SOPs and meets the Service Level Agreement (SLA).
  • Keep the systems running with maximum uptime. Watch system performance and reliability.
  • Investigate breakdowns, alarms and equipment failures. Find the root cause and fix it so the same problem does not happen again.
  • Lead shutdowns, system testing and upgrading works without affecting live operations.
  • Review the maintenance plan and recommend improvements to keep the equipment in good condition for longer.

Critical Systems

You will be responsible for the M&E systems at the site. Depending on the site, this may include:

  • Standby generators
  • UPS and battery systems
  • LV and HV electrical distribution
  • Chiller plant, cooling and air handling systems
  • Fire detection and fire suppression systems
  • BMS and EPMS
  • Access control and security systems

For a data centre site, you must make sure the facility can be maintained without shutting down operations, and that the uptime promised to the customer is met.

For a site in a regulated environment, you must follow all safety, security and statutory requirements, and work together with the relevant authorities.

Customer and Stakeholder Management

  • Be the main contact person for the customer on all operations and maintenance matters.
  • Hold regular meetings with the customer to review performance, service delivery, incidents and improvement plans.
  • Prepare and present operations reports, incident investigation reports and risk assessments to the customer and to management.
  • Build a good working relationship with the customer so that the contract is renewed.

Business Development

  • Look for and win new facilities management contracts. Sectors include data centres, factories and manufacturing plants, commercial buildings, and other critical infrastructure.
  • Use your own industry contacts and network to find new leads.
  • Grow the current contract. Identify additional works the customer needs, price it, and propose it.
  • Take part in tenders — technical solution, costing, writing the proposal, presenting to the customer, and negotiation.
  • Work with the business unit lead to meet the sales and growth targets.

Project, Contract and Vendor Management

  • Lead upgrading, retrofit and improvement projects. Deliver them safely, on schedule and within budget.
  • Manage the maintenance contract, including variations and contract renewal.
  • Monitor subcontractor and vendor performance against KPIs, safety requirements and service standards.

Safety and Team Leadership

  • Make sure the site follows Workplace Safety and Health (WSH) rules and company safety policies.
  • Lead risk assessments, safety audits, emergency response exercises and incident investigations.
  • Train, guide and develop the team. Make sure staff have the right skills and certifications.

Requirements

  • Degree in Engineering, Building Services, Facilities Management or a related field. Professional certification in facilities management, project management or data centre operations is an advantage, but not compulsory.
  • Around 10 years or more of experience in facilities management, engineering maintenance or building services. Several of these years should be in a leadership role, managing a team and a contract. Strong candidates outside this range will still be considered.
  • Experience at a critical site where downtime is costly and the customer monitors performance closely. Data centre experience is the closest match. Other critical environments are also considered.
  • Good working knowledge of project management, hard services facilities management, and critical facility operations.
  • Proven business development experience. You should be able to show contracts you helped to find, price and win.
  • Able to communicate clearly with both the customer and the site team.
