Project Executive (Events & Exhibitions)

Responsible for end‑to‑end coordination and delivery of exhibition, trade show and event projects — from conceptualisation, budgeting, vendor management, site coordination to final handover and post‑event review. You will work closely with clients, design, production and logistics teams to ensure projects run on time, within budget and meet quality standards.

✅ Key Responsibilities

- Plan project schedules, milestones, work plans and resource allocation

- Prepare project proposals, quotations, proforma/invoice schedules and progress reports

- Liaise directly with clients to gather requirements, provide updates and manage expectations

- Coordinate with internal teams, contractors, vendors, venues and authorities on setup, logistics and compliance

- Monitor project budgets, track expenses and ensure cost control

- Conduct site inspections, oversee installation/dismantling works and ensure safety & quality standards

- Manage documentation, filing and post‑project evaluation.

-Qualifications & Key Competencies

- Creative thinking with high attention to detail

- Strong planning, project management and leadership capabilities; able to multitask effectively and prioritise work according to exhibition and event needs

- Excellent communication and presentation skills; proficient in Microsoft Office suite – PowerPoint, Excel and Word

​

- Relevant diploma in Marketing, Design, Events, Architecture or related fields is preferred, but not mandatory

​

- Highly resourceful and solution‑oriented, able to adapt quickly and resolve challenges on the ground

​

- Strong networking skills and proactive in contributing fresh ideas and improvements

​

- Flexible working attitude – willing to work evenings and weekends as required by project schedules

​

- Occasional overseas travel may be required; this is optional and not compulsory

​

- Added advantage: Knowledge or experience in digital marketing, Adobe Photoshop, AutoCAD, and setting up/managing virtual event platforms
