Procurement Executive

Job Summary

The Procurement Executive is responsible for managing the sourcing, purchasing, and supply of raw materials, packaging materials, equipment, and operational supplies required for the company's manufacturing operations. The role ensures cost-effective procurement, supplier performance management, inventory optimization, and uninterrupted production through strategic sourcing and efficient supply chain coordination.

Key Responsibilities

1. Procurement and Sourcing

• Source, evaluate, and negotiate with suppliers to obtain the best value in terms of quality, cost, delivery, and service.
• Prepare and process purchase orders in accordance with company procurement policies.
• Identify alternative suppliers and develop strategic sourcing plans to reduce supply risks.
• Conduct market research and monitor industry trends to support purchasing decisions.

2. Supplier Management

• Establish and maintain strong relationships with local and overseas suppliers.
• Evaluate supplier performance based on quality, pricing, delivery reliability, and compliance standards.
• Coordinate supplier audits, assessments, and qualification processes.
• Resolve supplier-related issues, discrepancies, and disputes promptly.

3. Inventory and Supply Planning

• Monitor inventory levels and forecast purchasing requirements to ensure continuous production operations.
• Coordinate closely with production, warehouse, and sales teams regarding material requirements.
• Maintain optimal stock levels while minimizing excess inventory and carrying costs.
• Ensure timely replenishment of raw materials and packaging materials.

4. Cost Control and Budget Management

• Negotiate favorable pricing, payment terms, and contractual agreements.
• Monitor procurement expenses and identify cost-saving opportunities.
• Support annual budgeting and procurement planning activities.
• Analyze purchasing data and prepare cost-performance reports.

5. Logistics and Delivery Coordination

• Coordinate delivery schedules with suppliers and logistics providers.
• Monitor shipment status and ensure timely receipt of goods.
• Resolve delivery delays and supply chain disruptions efficiently.
• Ensure all purchased items are delivered according to specifications and requirements.

6. Documentation and Compliance

• Maintain accurate procurement records, contracts, supplier agreements, and purchasing documentation.
• Ensure compliance with company policies, food safety requirements, and regulatory standards.
• Verify invoices, delivery orders, and supporting documents for payment processing.
• Support internal and external audits related to procurement activities.

7. Cross-Functional Collaboration

• Work closely with Production, Quality Assurance, Warehouse, Finance, and Operations departments.
• Support new product development projects through supplier sourcing and material procurement.
• Participate in continuous improvement initiatives to enhance procurement efficiency.

Qualifications

• Minimum 2–3 years of relevant procurement experience, preferably in food manufacturing or FMCG industries.
• Proficient in Microsoft Office applications and ERP systems.
• Strong negotiation, analytical, and communication skills.
