Sales Administrative Officer

Company Overview

Our client is a company within the healthcare diagnostics / medical devices sector, supporting commercial and channel partner operations across Singapore and regional markets. The team works closely with internal stakeholders and external distributors to ensure smooth order fulfilment, accurate documentation, and reliable customer support within a regulated business environment.

Role Overview

We are looking for a detail-oriented and proactive Sales Administrative Officer to support end-to-end order processing, sales administration, customer coordination, and internal operational support.

This role will work closely with Sales, Supply Chain, Finance, Quality, and external distributors to ensure accurate system data, timely order execution, and smooth coordination across stakeholders. The ideal candidate should be comfortable handling order management, CRM/ERP systems, documentation, reporting, and customer communication in a fast-paced environment.

Location: Changi Business Park

Salary: S$3,500 – S$4,000 per month

Bonus: Performance bonus

Responsibilities

Order Management & System Administration

• Manage and update CRM and ERP systems to ensure accurate customer, sales, and order information.
• Process purchase orders, issue invoices, and verify customer and payment details.
• Support end-to-end order processing to ensure timely and accurate fulfilment.
• Review Letters of Credit and relevant order documents before submission to headquarters.
• Maintain accurate sales, customer, and accounts receivable records.
• Generate daily and monthly sales reports to support business tracking and decision-making.
• Coordinate with internal teams to resolve order, delivery, documentation, or fulfilment issues.
• Support third-party warehousing coordination and related administrative follow-up.
• Maintain organised electronic and physical filing systems for efficient document retrieval.

Sales Support & Stakeholder Coordination

• Serve as a key liaison between customers, distributors, channel partners, and internal teams.
• Prepare and manage sales quotations to support revenue and business development activities.
• Provide timely updates on order status, shipment progress, and backorders to relevant stakeholders.
• Escalate customer feedback or service issues to the relevant teams for follow-up.
• Provide administrative and operational support to the sales team.
• Work closely with cross-functional teams including Sales, Supply Chain, Finance, and Quality.

Office & Administrative Support

• Support day-to-day office administration, including facilities coordination and pantry supply management.
• Coordinate meetings, events, business communications, and travel arrangements.
• Assist with internal governance, operational support, and documentation requirements.
• Support ad-hoc administrative and operational duties as assigned.

Requirements

• Diploma or Degree in Business, Supply Chain, Logistics, or a related discipline.
• Minimum 2 years of experience in customer service, order management, sales administration, or related functions.
• Experience in the IVD, healthcare diagnostics, medical devices, or regulated industry is preferred.
• Strong understanding of order-to-cash processes and order management workflows.
• Knowledge of supply chain coordination is required.
• Experience using CRM and ERP systems such as SAGE, SAP, or similar platforms is preferred.
• Proficient in Microsoft Office, especially Excel, Word, and PowerPoint.
• Power BI knowledge will be an added advantage.
• Able to manage sales documentation, invoices, reports, and customer records accurately.
• Comfortable working in an office-based environment.
• Able to travel when required, approximately 25% of the time.
• Strong interpersonal, communication, and stakeholder management skills.
• Detail-oriented, organised, accountable, and able to manage changing priorities.
• Proactive, customer-focused, and able to solve problems in a timely and professional manner.
