Job Description - HR & Admin Executive

About the Role

We are looking for a proactive, organized, and people-oriented HR & Admin Executive to join our team. This role is ideal for someone who enjoys working in a fast-paced environment and is passionate about supporting both employees and business operations.

You will be responsible for managing the full spectrum of HR administration while providing general administrative support to ensure the smooth day-to-day operations of the office.

Key Responsibilities

Human Resources

  • Manage end-to-end recruitment, including job postings, interview coordination, onboarding, and offboarding.
  • Prepare employment contracts, confirmation, promotion, disciplinary, and termination letters.
  • Maintain employee records and ensure HR documentation is accurate and up to date.
  • Process work pass applications, renewals, cancellations, and other MOM-related matters.
  • Coordinate employee orientation, training, and staff engagement activities.
  • Assist in payroll preparation by compiling attendance, leave, overtime, and payroll-related information.
  • Administer employee leave, claims, and attendance records.
  • Ensure compliance with Singapore Employment Act and company HR policies.
  • Support performance appraisal exercises and other HR initiatives.
  • Handle employee enquiries and provide HR administrative support.

Administration

  • Manage office supplies, stationery, and pantry inventory.
  • Coordinate office maintenance, repairs, and vendor services.
  • Maintain company assets and administrative records.
  • Arrange meetings, appointments, and company events when required.
  • Assist in preparing reports and internal communications.
  • Perform filing, document control, and general office administration.
  • Provide administrative support to Management and other departments.
  • Handle any other ad-hoc duties assigned.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
  • Minimum 2 years of HR and administrative experience.
  • Familiarity with Singapore Employment Act and MOM regulations.
  • Experience in using whyze HRIS system will be an advantage.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong communication and interpersonal skills.
  • Meticulous, well-organized, and able to multitask.
  • Able to work independently while being a team player.
  • Positive attitude with a willingness to learn.
