Job Description - HR AND OFFICE ADMIN EXECUTIVE

Job Duties

·        Work pass & Manpower Regulation &Authorities Compliance

§ Work pass application, renewal, enrolment and on-board application,

§ Handle MOM queries and appeal where necessary

§ Verify CSOC validity prior to work pass renewal, starting work

§ Enrol and prepare workers for necessary and mandatory course as required

§ Ensure foreign workers relevant and necessary documentations are valid & exist, e.g. passport validity, medical check-up certifications.

§ Home leave management for foreign workers

§ Apply levy waiver

§ Submit MOM i-submit for WICA Claims (if any)

§ Purchase Primary care plan for new workers (http://pcp.fullertonhealth.com/)

§ Prepare and Submit MOM surveys

Occupational Employment Dataset (OED)

Progressive wage portal (PWP)

Labor Market Survey

·        Arrange workers skills certification &licensing

§ Renewal of Core trade, Hazmat, CSOC

·        Insurance administration & claims

§ Keep record of company insurance and make renewal upon due

§ Source for quotation and make comparisons for better rates

§ Types of insurances

-         Medical insurance

-         Work Injury compensation Act insurance

-         Commercial General Liability

-         Others where business needs arise

§ Submit medical insurance claims to Insurance company

§ Keep record of security bond validity and ensure renewal on time for work pass holders

·         Payroll, CPF Employees tax administration

§ Process payroll for the employees

§ CPF submissions

§ IR8A submissions

§ IR21 submission

§ Keep staff records up to date

§ Leave management for employees

§ New staff registration
·        Fleet and vehicle management

§ Keep motor vehicles records up to date for audit& compliance

§ Renew flee insurance on time

§ Renew COE

§ Update of fleet repair & maintenance records

§ Vehicle Parking certificate renewal

§ Monitor Road tax, COE and vehicle inspection

·        Dormitory & Worker welfare administration

§ Liaise with the landlord and workers on dormitory accommodation and compliances matters

§ Submit Requests to dormitory management for approval when workers bring in personal items

·        General administrative & compliance support

§ Overtime records update into Time Software

§ Appeal parking fine waivers

§ Support boss on sale of company vehicles

Prepare log card and PARF documentation

Submit export/sale transactions via One Motoring

§ Assist customer service operation in customer service calls answering

§ Assist in sale invoices & collections data entries when needed.

§ Assist in Procurement of accessories, Place PO, goods ordering and receipt

§ Assist in Directors expense claims reimbursement

·        Any Other duties as assigned from the company from time to time
