Job Description - Human Resource & Assistant to Head of Administration

Not manage a checklist. Not wait for direction. Own a function.

You will work directly alongside the Head of Administration in a high-trust, high-access role. You will have genuine influence over how the HR and operations function is built — this is a collaboration, not a hierarchy. In return, we expect you to bring real capability, real judgment, and a real bias toward action.

If you are someone who has spent years doing things properly and is looking for a place where that experience is genuinely respected and put to work- read on.

What You Will Own

HR & Admin (approx. 60%)

  • End-to-end HR: recruitment, onboarding, payroll administration, CPF/IRAS submissions, leave management, probation coordination, and offboarding. Knowledge and compliance with MOM requirements needed,

  • Build and maintain clean, simple SOPs for all recurring HR and admin processes — turning messy manual workflows into reliable systems

  • Coordinate performance appraisal cycles and staff documentation

  • Navigate office culture and people dynamics with discretion and emotional intelligence

  • Manage office administration: vendor relationships, facility upkeep, and administrative budgets

Executive & Strategic Support (approx. 40%)

  • Act as a right hand to the Head — executing with minimal hand-holding, anticipating needs before they arrive

  • IT coordination: lead vendor comparisons, oversee infrastructure projects (data storage, firewall matters etc), and manage implementation

  • Read, digest, and summarise legal and financial agreements — flagging key terms, risks, or anomalies clearly and accurately. You separate what the document says from what you think it means, and you present both

  • Support the Head in coordinating strategic partnerships, marketing and sales-adjacent initiatives

  • Develop sufficient familiarity with our financial products (Property Financing and Factoring) to support internal training (create slides, brochures) and sales execution

  • Communicate clearly and precisely — internally and externally. What is happening, what it means, and what needs to happen next.

Who You Are

  • Experienced: 3–5 years in HR, operations, or a hybrid admin/business role. You have handled HR independently before — not just supported someone else doing it.

  • Independently HR-capable: You can run the HR function without relying on external HR consultants for day-to-day decisions. You know Singapore labour law and corporate practice well enough to advise, not just execute.

  • Genuinely organised: You do not need a system built for you. You build systems. Your desk, your files, your follow-ups — all in order, without being reminded.

  • Tech-comfortable and resourceful: You are not afraid of IT or unfamiliar tools. You figure things out — including using AI and modern tools intelligently to work faster and smarter. Resourcefulness is a mindset, not a skill set.

  • Mature in judgment: You handle sensitive situations — people, culture, politics, legal documents — with care and discretion. You know when to act and when to check in first.

  • Willing to take direction: You may have strong opinions and we want to hear them. But when a decision is made, you execute fully and without friction.

  • Business-minded: Numbers and concepts do not intimidate you. You can read a report, spot a gap, and communicate it clearly upward.

  • Degree holder: In Human Resources, Business Studies, or equivalent.

  • All ages welcome: We hire by personality, learning attitude, and agility — not by age.   • While this role will provide all the training and hand-holding you need during initial transition, this role is not for someone who needs constant follow ups, supervision or a detailed task list to function.

  • It is not for someone who treats HR as purely paperwork — culture, people dynamics, and organisational health matter here.

  • It is not a short-term stepping stone. We are building something — we want someone who wants to build it with us.
