About the Group
We are a growing multi-entity group operating across fitness, Pilates, personal training, wellness and related business ventures.
As we expand into new locations, business lines and markets, we are strengthening the central people function that supports our teams. We are looking for a hands-on and dependable Senior HR Executive who can manage present-day HR operations while helping us build the workforce, systems and talent pipelines required for future growth.
About the Role
You will take ownership of the Group’s core people operations, including payroll, employment documentation, statutory submissions, recruitment, onboarding, employee records and offboarding.
This is not solely an HR administration role. You will also help management plan and mobilise manpower for new sites and ventures, maintain recruitment pipelines, improve HR systems and build consistent employee practices across the Group.
The role is intended to ensure that every business has the people, documentation, processes and workforce visibility required to operate and expand effectively.
Key Responsibilities
Payroll and HR Operations
- Prepare and process monthly payroll accurately and on time.
- Administer salaries, allowances, incentives, deductions, claims and statutory contributions.
- Maintain attendance, leave, payroll and employee records in JustLogin.
- Verify payroll inputs and work with Finance on payment and reconciliation.
- Respond to payroll, leave and employment-related enquiries.
- Maintain proper payroll controls, supporting records and approval trails.
Employment Contracts and Employee Records
- Prepare and issue offer letters, employment contracts, confirmation letters, amendments and other HR documentation.
- Maintain complete, accurate and confidential employee records.
- Track probation, confirmation, performance review, contract renewal and work-pass deadlines.
- Ensure employment terms and documents follow approved company frameworks.
- Maintain standard HR templates and ensure proper records for review, audit and handover.
Recruitment and Talent Pipelines
- Prepare and publish advertisements through career portals and other recruitment channels.
- Screen applications and conduct initial candidate interviews.
- Coordinate interviews, assessments, reference checks and offers with hiring managers.
- Maintain active candidate pipelines for operational, coaching, instructor, specialist and leadership roles.
- Develop consistent screening, interview and candidate-assessment processes.
- Support recruitment partnerships with schools, training providers and relevant industry networks.
- Provide regular visibility on vacancies, candidate pipelines and hiring progress.
Onboarding, Probation and Offboarding
- Coordinate pre-employment documentation and onboarding arrangements.
- Ensure new employees receive structured introductions to their roles, teams and workplace expectations.
- Enrol employees in the relevant HR, payroll, attendance and operating systems.
- Track probation milestones and coordinate confirmation reviews with supervisors.
- Administer resignations, clearance, handovers, final-payroll inputs and exit documentation.
- Conduct or coordinate exit interviews and identify recurring retention concerns.
Statutory and Government Administration
- Prepare and submit required employment-related government returns accurately and on time.
- Administer CPF, Skills Development Levy, income-tax reporting and other applicable submissions.
- Support work-pass applications, renewals, cancellations and related MOM requirements.
- Manage government-paid leave claims, NS make-up pay and other applicable employment claims.
- Stay updated on relevant changes to Singapore employment requirements and HR practices.
Expansion and Workforce Planning
- Maintain consolidated headcount and manpower plans across companies and locations.
- Work with management and business heads to anticipate vacancies and future manpower needs.
- Prepare manpower mobilisation plans for new sites, entities and business launches.
- Coordinate recruitment timelines, contracts, onboarding and operational readiness for opening teams.
- Track vacancies, payroll costs and staffing readiness against approved plans.
- Develop repeatable HR checklists, templates and workflows for future locations.
- Support the establishment of employment processes for new entities and overseas operations.
- Coordinate with local professional advisers on jurisdiction-specific employment requirements.
Employee Engagement and Culture
- Plan and coordinate employee engagement, recognition and team-building initiatives.
- Strengthen internal communication and connection across different teams and locations.
- Gather employee feedback and surface workplace concerns appropriately.
- Administer performance, conduct and employee-relations processes with supervisors.
- Help reinforce a culture of accountability, teamwork, service excellence and continuous development.
- Support internal progression and multi-skilled career pathways across the Group.
HR Reporting and Process Improvement
- Prepare a monthly people dashboard covering headcount, payroll costs, vacancies, recruitment, turnover and leave.
- Report on manpower readiness for new sites and business launches.
- Highlight expiring contracts, overdue reviews, work-pass deadlines and staffing risks.
- Improve HR trackers, templates, workflows and reporting systems.
- Ensure critical HR processes are documented and do not depend on one person’s knowledge.
What We Are Looking For
- Diploma or degree in Human Resources, Business Administration or a related discipline.
- At least three years of relevant HR operations experience in Singapore.
- Practical experience independently processing payroll and statutory submissions.
- Familiarity with Singapore’s Employment Act, CPF and MOM requirements.
- Experience preparing employment contracts and administering the full employee lifecycle.
- Experience with JustLogin or another HR and payroll platform is preferred.
- Recruitment and initial interviewing experience.
- Comfortable supporting frontline, shift-based, professional and management employees.
- Strong organisation, accuracy and attention to detail.
- Able to manage multiple companies, deadlines and workstreams without losing follow-through.
- Discreet and responsible when handling confidential employee information.
- Comfortable working in a growing environment where systems and requirements continue to evolve.

Role Boundaries
The Senior HR Executive owns HR operations and workforce coordination but does not independently decide salaries, headcount or employee outcomes.
- HR Executive: Payroll processing, contracts, recruitment administration, employee records, statutory HR submissions and workforce reporting.
- Corporate Services: Corporate records, corporate-secretarial coordination, governance tracking and central administrative control.
- Finance: Payroll reconciliation, accounting records and payment controls.
- Business Heads and Supervisors: Hiring selections, manpower outcomes, performance assessment and team leadership.
- Management: Headcount, remuneration, employment decisions and expansion approvals.
Performance Outcomes
