Job Description - Admin Assistant

JobSummary

We are seeking a detail-oriented and organized AdminAssistant to support the daily administrative operations of our containerdepot. The successful candidate will be responsible for maintaining accuraterecords, coordinating with internal and external stakeholders, monitoringcontainer repair activities, and ensuring timely billing and documentation.

Key Responsibilities

  • Perform general administrative duties, including data entry, document filing, report preparation, and email correspondence.
  • Register containers for surveys and arrange inspection schedules.
  • Prepare and record container repair estimates based on survey reports.
  • Monitor repair progress and update repair status accurately in the depot management system.
  • Coordinate with shipping lines, freight forwarders, hauliers, surveyors, repair teams, and internal departments to ensure smooth operational workflow.
  • Prepare and maintain records for container storage, handling, and repair charges.
  • Verify supplier and customer invoices against depot operational records to ensure billing accuracy.
  • Maintain accurate documentation and ensure all records are updated in a timely manner.
  • Assist in generating operational and management reports as required.
  • Provide administrative support to the Admin Supervisor and assist with other ad hoc duties as assigned.

Requirements

  • Minimum Higher NITEC, or equivalent qualification.
  • At least 1–2 years of administrative experience; experience in the shipping, logistics, container depot, or freight forwarding industry is an advantage.
  • Candidates without container depot experience will be required to undergo 1–2 months of on-the-job training at the depot counter to gain an understanding of depot operations and the in-house system.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Good data entry skills with strong attention to detail and accuracy.
  • Able to communicate effectively with internal teams and external customers.
  • Good organizational and time management skills with the ability to manage multiple tasks.
  • Able to work independently as well as collaboratively in a team environment.
  • Willing to work overtime when operational requirements arise.
