About the role
The Procurement & Logistics Associate supports the day-to-day procurement and logistics operations of the Company, with a primary focus on logistics coordination. The role involves assisting with purchase orders, coordinating shipments, preparing shipping documentation, tracking deliveries, maintaining operational records, ESG reporting and cost optimization initiatives to ensure efficient and compliant supply chain operations.
Key responsibilities
Procurement (20%)
Assist end-to-end procurement activities, including processing purchase requisitions, generating purchase orders (POs) through the procurement system, monitoring order status, and ensuring timely order closure.
Support freight cost analysis, logistics optimization initiatives and vendor performance monitoring to improve operational efficiency and cost effectiveness.
Maintain accurate procurement records, documentation and filing in accordance with company policies and procedures.
To perform any other ad-hoc procurement tasks as assigned.
Logistics (80%)
Coordinate with freight forwarders and internal teams to manage local and international shipments, ensuring timely delivery and compliance with shipping requirements and schedules.
Prepare, verify, and maintain shipping documentation, including commercial invoices, packing lists, customs declarations, and other import/export documents.
Monitor shipment progress, track delivery timelines, and provide regular status updates to internal stakeholders while managing delivery expectations.
Resolve shipment issues by coordinating with internal teams and freight forwarders while ensuring service quality and timeliness.
Maintain proper filing and record-keeping of shipment documentation and logistics transactions.
Notify Finance to Inventory update once HQ or warehouse provides the complete set of documents.
Manage end-to-end process of QAI including shipping goods back to HQ and ensure all returns.
Support ESG and sustainability reporting initiatives, ensuring accurate data collection and compliance with reporting requirements.
Support general operational and administrative activities as assigned.
Requirements
Diploma or equivalent qualification in Supply Chain Management, Logistics, Procurement, Business Administration, or a related discipline.
2–3 years of relevant experience in supply chain, purchasing, or logistics, preferably within an international shipping or manufacturing environment.
Knowledge of import/export documentation and shipping procedures is preferred.
Strong interpersonal, communication, and organizational skills with a proactive, detail-oriented approach and the ability to work independently and in cross-functional teams in a fast-paced environment.
Proficient in Microsoft Office applications (Excel, Word, Outlook).
