Operations Assistant, Air Freight, Import Operations, Singapore

JOB OVERVIEW 

To manage and execute daily airfreight import operational activities efficiently and accurately, ensuring timely cargo clearance, shipment visibility, operational compliance, and smooth coordination with internal and external stakeholders to meet service requirements and operational KPIs. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

Operational Processing 

• Retrieve and verify shipping documents for break-bulk shipments. 

• Ensure shipping details on Commercial Invoice and House Air Waybill (HAWB) are accurate before cargo clearance processing. 

• Open job files with accurate shipment details. 

• Coordinate cargo tracking and tracing with airlines, Ground Handling Agents (GHA), overseas offices, and internal departments. 

• Monitor shipment milestones and ensure timely updates in operational systems. 

Customs Clearance & Cargo Release 

• Verify approved cargo clearance permits before cargo release. 

• Ensure permits are supported with the required documents (HAWB, Commercial Invoice, Packing List) prior to cargo release. 

• Coordinate closely with warehouse and traffic teams for cargo release and delivery arrangements. 

• Highlight shipment discrepancies, irregularities, or operational issues to Supervisor/Manager for corrective actions. 

Operational Control & Compliance 

• Ensure accurate and timely operational milestone updates in TMS system and related systems. 

• Maintain operational visibility and proper shipment status updates. 

• Support service recovery actions for shipments with operational irregularities or service failures. 

• Ensure compliance with company SOP, customs requirements, and operational procedures. 

Coordination & Communication 

• Liaise with internal departments, overseas stations, vendors, and service providers on shipment handling matters. 

• Support operational communication and coordination for urgent shipments, including AOG or priority cargo when required. 

• Assist in operational reporting and shipment monitoring activities. 

General 

• Support continuous operational improvement initiatives. 

• Any other tasks as and when assigned by management.  

• Any other job-related tasks as assigned by the superior.  

• Adherence to the Code of Conduct policy of the DSV Group.  

QUALIFICATIONS 

Operational Competencies 

• Knowledge of Airfreight Import Operations processes 

• Understanding of customs clearance and cargo release procedures 

• Familiarity with Cargo Wise System or similar freight forwarding systems 

• Cargo tracking and shipment coordination knowledge 

• Problem-solving and operational coordination skills

EDUCATION AND/ OR EXPERIENCE 

• Diploma in Business Administration, Logistics, Supply Chain, or related discipline 

• Minimum 1–3 years of experience in Airfreight Import Operations or Freight Forwarding industry 

• Fresh graduates with relevant internship experience may also be considered 

• Education can be compensated with relevant working experience.
