Order Coordinator (Manufacturing)

Key Responsibilities

Customer Order Management

• Receive and process customer orders in the ERP system.
• Review order details, including product specifications, quantities, pricing, and delivery schedules.
• Confirm orders and communicate order acknowledgements to customers.

Production Coordination

• Coordinate with Production Planners to schedule manufacturing based on customer requirements.
• Monitor production progress to ensure on-time completion.
• Work closely with relevant departments to resolve production issues and minimize delays.

Material Coordination

• Liaise with the Procurement team to ensure timely availability of raw materials.
• Track critical material deliveries to support production schedules.
• Coordinate solutions for material shortages and urgent purchasing requirements.

Inventory Management

• Monitor inventory levels to ensure order fulfillment.
• Coordinate with the warehouse for stock allocation and preparation.
• Assist in maintaining optimal inventory levels to minimize stock shortages and excess inventory.

Shipping & Logistics

• Coordinate with the warehouse on picking, packing, and shipment arrangements.
• Liaise with logistics providers to ensure timely delivery.
• Prepare packing lists, commercial invoices, and export documentation where applicable.

Customer Service

• Update customers on delivery schedules and order status.
• Handle customer enquiries regarding orders.
• Coordinate order amendments, delivery rescheduling, and cancellations.

Reporting & Analysis

• Maintain and update order tracking records.
• Monitor and report key performance indicators such as Order Fulfilment Rate and On-Time Delivery (OTD).
• Prepare sales, order, and operational reports for management.

Cross-Functional Coordination

• Work closely with Sales, Procurement, Production, Quality, Warehouse, and Logistics teams to ensure smooth order execution.
• Coordinate and resolve operational issues throughout the order fulfilment process.

Requirements

• Bachelor's Degree or Diploma in International Trade, Business Administration, Supply Chain Management, Logistics, or a related discipline.
• Minimum 3 years of experience in order coordination, international trade, customer service, or supply chain within a manufacturing environment.
• Experience in manufacturing operations is highly preferred.
• Familiar with ERP and CRM systems (e.g., SAP S/4HANA, Microsoft Dynamics 365 Finance, Oracle NetSuite, or equivalent).
• Proficient in Microsoft Office applications, particularly Excel and PowerPoint.
• Good command of English, with the ability to communicate effectively in writing and basic spoken communication with international customers.
• Proficient in Mandarin (spoken and written) to communicate effectively with Mandarin-speaking stakeholders and business partners.
• Strong coordination, planning, time management, and problem-solving skills.
• Able to work independently, manage multiple priorities, and perform well under pressure in a fast-paced manufacturing environment.
• Positive attitude with a willingness to learn, continuously improve, and share knowledge with the team.
