$4,500 - 5,500 monthly

Job Description - Procurement Officer

The Procurement Officer is responsible for managing the end‑to‑end procurement process for the vessels assigned to him/her. The role requires close coordination with the Superintendent to ensure the timely and cost‑effective supply of goods and services. The Procurement Manager may provide supervision where necessary to support the responsibilities outlined below.

Key Responsibilities

  • Execute procurement activities for allocated vessels in accordance with company policies and procedures.
  • Maintain accurate and up‑to‑date records in ERP System.
  • All requisitions (Stores/Spares/Provisions/Services) submitted by vessels through the ERP system, enquiries to be sent to approved suppliers based on vessel requisitions.
  • Arrange freight, port deliveries, and last‑mile coordination with ship agents, logistics providers, and ship chandlers.
  • Closely follow up on the readiness dates for spares/stores Purchase Orders to ensure timely delivery and alignment with vessel schedules.
  • Ensure deliveries are aligned with vessel schedules to avoid missed ports or costly re-routing.
  • Follow up on all landing reports from vessels.
  • Closely follow up on LO/FO samples from the time they are dispatched by the vessel until they are received by the laboratory/vendor, ensuring that the analysis report is obtained promptly and forwarded to the superintendent/vessel for evaluation.
  • Submit delivery plan to vessels to provide updates on upcoming supply arrangements and follow up with vessel timely receipt of Goods Receipt.
  • Ensure invoice approvals are done timely
  • Monitor and track all issued REQ ,POs, and outstanding open PO’s.
  • Submit a monthly Open Po and Req status report to the Vessel
  • Submit a monthly open P.O report to Accounts

Requirements:

  • Minimum GCE ‘O’ Level. Polytechnic Diploma in Logistics Management, marine engineering or equivalent if preferred.
  • Well-versed with MS Excel and Word
  • Knowledge of using ERP for procurement
  • Good written and interpersonal communication skills
  • 3 to 4 years of experience with Ship management/Owning company as procure officer for large crude tankers and worldwide trading is preferred.
  • Resourceful, driven, proactive and independent
  • Strong negotiation capability
  • Team player able to work well with team members
  • Ability to work in a fast-paced environment with deadlines and goals
  • Remuneration will commensurate with Applicants profile and background.
