Job Purpose
The Supply Chain & Operations Coordinator is responsible for supporting daily supply chain and operational activities, including order processing, inventory coordination, warehouse operations, logistics arrangements, reporting, and administrative support. The role works closely with Sales, Supply Chain, Finance, Warehouse, and Logistics partners to ensure smooth execution of customer orders and inventory movement.
Key Responsibilities
1. Order Management & Sales Support
Create and process Sales Orders (SO), Delivery Orders (DO), Invoices, Credit Notes, and products requisition requests accurately and timely.
Monitor and follow up on pending customer orders to ensure timely fulfilment.
Coordinate with Sales and Finance teams on order-related matters.
Ensure all order documentation is properly maintained and filed.
2. Inventory & Warehouse Coordination
Monitor inventory movements and support daily stock level tracking.
Coordinate stock transfers between warehouses and storage locations.
Liaise with warehouse partners on inbound, outbound, and inventory-related activities.
Assist in inventory reconciliation and stock discrepancy investigations.
Support stocktake and inventory verification exercises.
Verify stock adjustment requests and supporting documentation.
3. Logistics Coordination
Arrange deliveries with logistics service providers.
Coordinate delivery schedules between customers, warehouses, and transporters.
Follow up on delivery status and resolve delivery-related issues.
Handle return goods arrangements and special delivery requests.
Assist in managing Out-of-Stock (OOS) and short shipment cases.
4. Inventory Reporting & Forecast Support
Prepare and maintain inventory reports, stock movement reports, and operational trackers.
Assist in compiling inventory forecasts and stock planning data.
Monitor stock availability and highlight potential inventory issues.
Support analysis of slow-moving and ageing inventory.
5. Import & Operational Support
Prepare Shipping Invoice and Packing List (SIPL) documentation for permit applications.
Support import and inbound shipment coordination.
Assist in operational coordination and documentation.
Support cross-functional projects and operational initiatives as assigned.
6. Billing Verification & Administration
Verify warehouse and logistics invoices against supporting records.
Assist in checking charges from warehouse and logistics service providers, including storage, transportation, pallet rental, and operational fees.
Prepare summaries and discrepancy reports for management review.
Maintain accurate records of operational costs and supporting documents.
7. Cross-Functional Coordination
Work closely with Sales, Supply Chain, Finance, Warehouse, and Logistics teams to resolve operational issues.
Follow up on action items and ensure timely closure of operational matters.
Support continuous improvement initiatives to enhance operational efficiency.
Requirements
Education
Diploma in Supply Chain Management, Logistics, Business Administration, or related disciplines.
Experience
0–2 years of relevant working experience in Supply Chain, Logistics, Operations, Customer Service, or Administration.
Fresh graduates are welcome to apply.
Skills & Competencies
Proficient in Microsoft Excel and Microsoft Office applications.
Experience with SAP or ERP systems is an advantage.
Strong organizational and coordination skills.
Good communication and interpersonal skills.
Detail-oriented with strong accuracy and follow-through.
Ability to work independently and manage multiple priorities.
