Job Description - Manager, Procurement and Logistics

Our Client

Our client is the integrated agribusiness and food company. It is one of Asia’s largest privately owned agribusinesses with production facilities across eight countries in Asia. Its parent company is publicly listed on one of the stock exchanges in SEA.

The Role

Reporting to AVP, Group Purchasing, you are responsible for providing commercial and administrative back-office support for purchasing and logistics activities relating to order arrangement, pricing, vessel nomination, and coordinates with internal and external stakeholders on related documentation and operational requirements. You are also to provide support in developing procurement policies and procedures to fulfill their purchasing obligations.

Responsibilities:

Order Management

  • Take, place, and follow up orders (PO/CO) for raw materials administration activities in compliance with company policies and procedures.
  • Maintain purchasing documents, files, and records for the purpose of ensuring the availability of documentation and compliance with regulatory guidelines.
  • Proactively coordinates with internal customers and suppliers to resolve routine purchasing supply issues; expedite outstanding purchasing orders to ensure delivery requirements are met.
  • Processes financial data and documents for the purpose of supporting A/C departmental activities.
  • Resolve potential conflicts between the Group and 3rd parties (suppliers, customers, surveyor, and shipping).
  • Anticipate and mitigate logistical risks and take initiative in proposing alternative solutions to issues.
  • Oversee verification of documentation (such as Sales/Purchase contracts, Invoices & shipping documents) & secure internal approvals, complete & update ERP data management and maintain accurate e-filing records.

Data Management

  • Collect and report statistics to measure commodity and/or supplier performance. Prepare Purchasing reports, including Trade Summary (on-going), Pricing Summary (Weekly), Neutral positions (Weekly), Country Raw Material Performance (Monthly) & ad-hoc reports.
  • Evaluate/Analyse current procurement activities and recommend improvement through ERP system and standardization.
  • Update the changes to related business standard practices and interprets procedures to faculty.
  • Review and monitor ERP data for all business units (Bulk, Container, and Feed Additives), liaise with the team for corrections in order to maintain completeness and accuracy of purchasing data.

Food Safety

  • Complies with quality, Halal, health and food safety policy, standards and regulations of the company.
  • Responsible for reporting problems related to Halal, food safety & quality management system to identified authorities.

M3 Super User

  • Liaise with the ERP consultant on the system functionality and business process questions for fix and resolution from a procurement perspective.
  • Assist ERP end-user with basic navigation questions and quickly addressing process and system problems.

Other Tasks

  • Actively participate in all company programs and activities under quality improvement, safety & security, sustainability, corporate social responsibility, risk management etc.
  • Provide guidance/coach new members in the team. Serve as backup for the team members in support of cross-training to assist in peak load times, during office absences and as a general resource for the team.
  • Assist the team leader in evaluating internal procedures to ensure compliance with organizational goals and objectives. Provide support in developing procurement policies and procedures to fulfil the purchasing obligations.

Your Profile

  • Diploma/Degree in International Trade/Supply Chain Management.
  • Minimum of 5 years experience in Agribusiness Trading Operations.
  • Good working knowledge of Import/Export procedures, INCOTERMS, and International Trade is required.
  • Familiar with documentation and order processing, a good understanding of procurement practices and procedures.
  • Knowledge of GAFTA will be an advantage.
  • Familiar with MS Word & Excel (PivotTable, VLOOKUP, Match, Index functions).
  • Prior experience in people management skill.
