Job Description - Procurement Manager

The Procurement Manager is a managerial position responsible for developing and implementing strategic sourcing strategies aligned with business objectives to drive value creation across all functional areas. The role encompasses the full spectrum of procurement activities, from supplier qualification and management through to contract administration, tendering, and cost optimisation, while ensuring compliance with internal policies, regulatory requirements, and ethical standards.

Key responsibilities:

Strategic Procurement & Sourcing:

  • Develop and implement strategic sourcing strategies aligned with business objectives to drive value creation across all functional areas.

  • Co-lead with Management to periodically review, revise, and enforce Procurement policies and procedures to reflect best practices and regulatory requirements.

  • Anticipate and identify drawbacks in the procurement process and implement proactive measures to mitigate supply chain and commercial risks.

  • Recommend process improvements and workflow streamlining initiatives to achieve productivity savings while maintaining adequate governance and controls.

Supplier Management & Relationships:

  • Manage the full supplier lifecycle — from qualification and onboarding, through ongoing performance reviews, to contract renewal or exit.

  • Negotiate with suppliers to secure advantageous commercial terms, including pricing, payment terms, warranties, and service levels.

  • Build and maintain strong relationships with key suppliers; address supply disruptions, quality issues, and performance gaps in a timely and effective manner.

  • Conduct regular supplier performance evaluations against agreed KPIs covering quality, delivery, responsiveness, and cost competitiveness.

Tendering, Evaluation & Contract Management:

  • Administer the end-to-end quotation and tender process in compliance with company policies and procedures.

  • Participate in the evaluation and interpretation of bids; prepare recommendation papers and obtain necessary approvals for contract award.

  • Review all supplier contract terms to ensure commercial adequacy, legal compliance, and risk mitigation; escalate issues where required.

  • Ensure all contracts are tracked and reviewed in a timely manner, with sufficient lead time for renewal, renegotiation, or re-tendering.

Budget & Cost Management:

  • Exercise budgetary control over procurement spend and drive a culture of long-term cost savings across the organization.

  • Monitor and report on procurement cost performance, variance analysis, and savings realized against targets.

  • Identify opportunities for consolidated purchasing, volume discounts, or alternative sourcing to optimize total cost of ownership.

Governance, Audit & Compliance:

  • Ensure all procurement activities are conducted in accordance with internal policies, regulatory requirements, and ethical standards.

  • Review procurement activities to meet internal and external audit requirements, minimising compliance risks and closing audit findings promptly.

  • Maintain proper and complete documentation of all procurement activities, contracts, approvals, and correspondence to support audit trails.

  • Report on procurement activities to Management, including spend analysis, supplier performance, policy compliance, and risk status.

Stakeholder Collaboration:

  • Partner closely with internal stakeholders across Finance, Operations, HR, and business units to understand procurement needs and deliver timely, fit-for-purpose solutions.

  • Provide guidance and advisory support to business units on procurement policies, supplier selection, and contract matters.

  • Support new business initiatives and projects requiring procurement input, from scoping through to contract execution.

Education Requirements: Minimum Diploma / Degree in Supply Chain Management, Engineering or related field

Experience Level Requirements: Minimum 5–8 years of progressive procurement experience, with at least 3 years in a managerial or supervisory capacity. 

Job Requirements:

  • Proven track record in strategic sourcing, supplier negotiations, and contract management in a manufacturing, precision engineering, or industrial environment.

  • Experience managing end-to-end tender and quotation processes, including bid evaluation and award recommendation.

  • Exposure to multi-site or regional procurement operations is an advantage.

Technical Skills & Knowledge:

  • Strong knowledge of procurement principles, sourcing methodologies, and supply chain best practices.

  • Proficient in contract review and interpretation, with an understanding of commercial and legal risk terms.

  • Familiar with ERP systems and procurement modules.

  • Sound understanding of audit and compliance requirements in a procurement context.

  • Competent in spend analysis, cost modelling, and total cost of ownership evaluation.

  • Proficient in Microsoft Office applications, particularly Excel and PowerPoint, for reporting and presentations.

Competencies & Soft Skills:

  • Strong negotiation and influencing skills with the ability to engage confidently with suppliers and senior stakeholders.

  • Analytical and detail-oriented, with the ability to evaluate bids objectively and make well-reasoned recommendations.

  • Excellent organizational skills with the ability to manage multiple contracts, deadlines, and priorities concurrently.

  • Strong communication and interpersonal skills to collaborate effectively across departments and with external parties.

  • High level of integrity and ethical standards in handling procurement decisions and supplier relationships.

  • Proactive and resourceful, with a continuous improvement mindset and the ability to identify and resolve issues independently.
