Shipping and Operations Manager

About the Role

We are seeking a proactive and detail-oriented Shipping & Operations Manager to oversee our daily shipping, warehouse, and operational activities. The successful candidate will be responsible for ensuring efficient order fulfilment, inventory accuracy, customer satisfaction, and compliance with local and international shipping regulations.

This role requires strong leadership, organizational skills, and the ability to coordinate across multiple departments to ensure smooth business operations.

Key Responsibilities

Shipping & Logistics

• Manage daily shipping and receiving operations.
• Coordinate local and international shipments with freight forwarders, shipping lines, and courier companies.
• Prepare and verify shipping documents, including invoices, packing lists, Bills of Lading, and customs documentation.
• Ensure compliance with import/export regulations and Singapore Customs requirements.
• Monitor shipment schedules and resolve delivery delays or logistics issues.
• Negotiate freight rates and manage logistics service providers.

Warehouse & Inventory

• Oversee warehouse operations including receiving, storage, picking, packing, and dispatch.
• Maintain accurate inventory records and conduct regular stock counts.
• Ensure inventory accuracy through proper stock control procedures.
• Optimise warehouse layout and storage efficiency.
• Implement workplace safety and housekeeping standards.

Operations Management

• Develop and improve operational processes to increase efficiency and reduce costs.
• Monitor operational KPIs and prepare management reports.
• Coordinate with sales, procurement, finance, and customer service teams to ensure timely order fulfilment.
• Manage operational budgets and control logistics costs.
• Identify areas for continuous improvement and implement best practices.

Team Leadership

• Lead, train, and supervise warehouse and operations staff.
• Allocate resources and manage daily work schedules.
• Conduct performance evaluations and staff development.
• Foster a positive and safety-focused working environment.

Customer Service

• Resolve customer delivery and shipping issues promptly.
• Maintain strong relationships with suppliers, logistics partners, and customers.
• Ensure service levels meet company standards.

Requirements

• Diploma or Degree in Supply Chain Management, Logistics, Business Administration, or a related discipline.
• Minimum 5 years of experience in shipping, logistics, warehouse, or operations management.
• Knowledge of import/export procedures and customs regulations.
• Experience managing freight forwarders and third-party logistics providers.
• Strong leadership and people management skills.
• Excellent organisational and problem-solving abilities.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Experience with ERP or warehouse management systems is an advantage.
• Good written and verbal communication skills.
• Ability to work independently in a fast-paced environment.

Preferred Qualifications

• Experience in the food trading, distribution, manufacturing, or import/export industry.
• Familiarity with Singapore Customs, TradeNet, and shipping documentation.
• Knowledge of inventory management and warehouse best practices.
