Key Responsibilities
Project & Event Management
Plan, coordinate, and execute a wide range of projects, including events, product launches, festive decorations, exhibitions, and experiential activation.
Manage projects from initial brief through execution and final delivery, ensuring timelines and objectives are met.
Oversee event setup, show operations, and tear down to ensure seamless project delivery.
Anticipate challenges and implement solutions to ensure successful project outcomes.
Client Management
Build and maintain strong relationships with clients throughout the project lifecycle.
Understand client objectives and provide strategic recommendations to meet their goals.
Deliver excellent customer service, from business development and onboarding to project completion.
Maintain clear, timely, and professional communication with clients at all stages of the project.
Creative Development
Develop creative concepts, event themes, and proposal presentations tailored to client requirements.
Work closely with the design team to transform ideas into compelling event experiences and environments.
Contribute ideas that enhance guest engagement, brand storytelling, and overall event impact.
Coordination & Operations
Lead coordination between internal departments, including creative, production, procurement, and operations teams.
Ensure all deliverables are aligned with client expectations, budgets, and project timelines.
Coordinate logistics and operational requirements to ensure smooth event execution.
Vendor & Stakeholder Management
Source, negotiate, and manage external vendors and service providers, including fabrication partners, caterers, audiovisual suppliers, entertainers, and venue operators.
Identify sponsorship opportunities and support sponsorship acquisition efforts where required.
Manage supplier relationships to ensure quality, reliability, and cost efficiency.
Budget & Reporting
Prepare and manage project budgets, quotations, and profitability.
Monitor project expenditures and ensure financial targets are achieved.
Conduct post-event evaluations, gather feedback, analyse performance metrics, and identify areas for improvement.
Marketing & Business Development
Support the development of event case studies, social media content, and project documentation.
Identify opportunities to expand client relationships through additional services and future projects.
Contribute to business growth by actively supporting new opportunities and proposals.
Requirements
Diploma or Degree in Events Management, Marketing, Communications, or a related field.
Minimum 2 years of relevant experience in event management, activation, exhibitions, live productions, or a similar industry.
Strong communication, organisational, and project management skills.
Comfortable managing multiple projects and deadlines simultaneously.
Knowledge of event production, logistics, and on-site event operations.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and Canva.
Possesses an interest in AI technologies and is willing to explore and leverage AI tools to improve productivity, creativity, and work efficiency.
Experience or knowledge in managing social media platforms and content creation will be an advantage.
Resourceful problem-solver with the ability to remain calm and make sound decisions under pressure.
Able to work effectively in a high-stress, fast-paced environment, especially during peak event periods and project deadlines.
Positive attitude, self-driven, and capable of working independently with minimal supervision.
Strong attention to detail and commitment to delivering work of a high standard.
Hands-on, proactive, and willing to go the extra mile to ensure project success.
Adaptable and confident in handling evolving priorities and last-minute changes.
Demonstrates leadership potential and a strong desire to grow into a senior management or leadership role.
