Job Overview: As an Admin Assistant, you will play a crucial role in ensuring the smooth and efficient operation of the office environment. This position involves administrative tasks, requiring a detail-oriented and organized individual. The ideal candidate will be proficient in office management, and be adept at handling a variety of tasks to support the overall functioning of the business.

 

Key Responsibilities:

  • Manage and organize office operations to ensure a tidy and efficient work environment
  • Manage 3rd party cleaning vendor and ensure cleaning service carried out according to office checklist 
  • Handle phone calls, emails, and correspondence, redirecting them to the appropriate individuals when necessary.
  • Coordinate and schedule meetings, appointments, and travel arrangements for team members.
  • Receptionist duties such as seeing guests to the respective meeting rooms and informing team members of the arrival of guests.
  • Maintain office supplies inventory and place orders as needed.
  • Assist in the onboarding process for new employees.
  • Organize and maintain accurate records, both physical and electronic.
  • Manage filing systems, ensuring documents are appropriately categorized and easily retrievable.
  • Input, update, and manage data in the database.
  • Handle basic bookkeeping tasks, such as data entry for supplier invoices and maintaining financial records.
  • Collaborate with the finance team to manage accounts payable and store inventory stock count.
  • Perform any other ad-hoc duties as assigned.

 

Job Requirements:

  • Candidate must possess at least a Diploma in business administration or other related field
  • Minimum 1-2 years of relevant working experience
  • Proven experience in office administration.
  • Proficient in Microsoft (excel, word, outlook).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Detail-oriented with a high level of accuracy in work.
