Job Description - Admin Executive

Responsibilities:

  • Staff Accommodation Management: Oversee allocation, booking, and upkeep of staff accommodations, ensuring all facilities meet company standards.
  • Office Rentals and Leasing: Manage office rental agreements, including timely renewals, contract negotiations, and maintaining accurate records.
  • Renovations and Maintenance: Coordinate office renovations, repairs, and maintenance projects by liaising with contractors and vendors to ensure timely and quality completion.
  • Vendor and Lease Contract Management: Draft, review, and manage lease and vendor agreements to ensure compliance with company policies.
  • VIP Reception: Arrange and manage high-level guest and VIP receptions, ensuring professional hospitality and smooth experiences.
  • Facilities and Inventory Management: Oversee the maintenance of office facilities, furniture, and equipment; handle procurement and inventory tracking.
  • Budget Oversight: Prepare cost estimates and monitor expenses for office rentals, renovations, and other administrative functions.
  • Event Coordination: Support the organization and execution of company events, meetings, and functions.
  • Administrative Support: Provide comprehensive support to the management team, including preparing reports, organizing schedules, and maintaining organized administrative systems.
  • AdHoc Duties: Take on additional tasks and projects as assigned by management to support overall operations and company goals.

 

Requirements:

  • Diploma or degree in Business Administration, Property Management, or a related field.
  • Minimum 2–3 years of experience in administrative, facilities management, or related roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong negotiation and communication skills for dealing with vendors, contractors, and agents.
  • High attention to detail and the ability to handle multiple tasks simultaneously.
