Job Description - Admin Executive (Hospital Environment) - Positive Work Culture

We are in search of an experienced Admin Executive (Hospital Environment) to join our incredible team at ISS FACILITY SERVICES PRIVATE LIMITED in West Region.

Job Responsibilities 

  • Responsible for the overall office administration and secretariat support to the operation team (at M&E entity and Healthcare sites).
  • Assist in compilation and preparation of week/monthly/ad hoc reports and ensuring that the FM Monthly report and Payment Statement are submitted to customer in a timely and accurate manner. 
  • Assist in Procurement system for raising Purchase Requisition (PR), follow-up on Purchase Order (PO) from HQ buyer, and support Goods Received Note (GRN) at the site level for completion of invoicing process.
  • Undertake any ad-hoc assignment requested by FM and/or HQ which may be delegated as operational needs
  • Follow up on vaccinations/core trade/renewal of all work passes (WP/SP/EP) including usage and updating of e-staff portal, while streamlining the operative staff’s remuneration within latest equity, job requirements and market conditions.
  • Responsible for ensuring accurate HRMS updates for leave/claims of staff and assisting FM on petty cash claims as and when necessary.
  • Responsible for induction & training requirements
    • ISS’s site induction and compliance to customer’s site induction requirements
    • Contractual resume submission to customer
    • Training matrix 
  • Plan, liaise and arrange training programs for site requirements.
  • Monitor and implement financial costing/planning.

 

Job Requirements 

  • Minimum Diploma or 'A' Levels qualifications and with minimum 3 years of administrative experience 
  • Proficient in MS Office suites
  • Ability to work independently with minimum supervision.
  • Able to commit to 5.5 days' work week and to be based on-site (Healthcare) for at least 3 working days a week.
