Job Description - Administrative Executive (Hospital Environment at North) - Leading Industry Pay

You will be required to provide HR and general administration support, working closely with the operation team to improve work relationship and ensure alignment with company process and procedures.

Job Description

  • Provide overall office administration, finance support and HR support to the onsite operational team.
  • In charge and maintaining site profit & loss book.
  • To lead and liaise with all internal or external site audit and ensure a good preparation and all compliance.
  • In charge and maintaining all base and variation order cost matching with all the revenues. And uploaded and updated till date or as planned on timely manner.
  • Monitor/report the site revenues on monthly basis and ensure to achieve monthly/annual revenue and profit target.
  • Keep close monitor/track of the monthly claimable /non-claimable spending. Propose control measure to ensure the non-claimable is under control in a tight budget and ensure the workable control measures on overspending.
  • Liaise with the material suppliers and keep sourcing for the competitive spare parts from the existing and new suppliers from the market and maintain the purchase price at its lowest.
  • Keep spare parts store inventory record and to carry out the spare parts and inventory utility analysis and submit the report to client and inhouse team on monthly basis.
  • Raise Purchase Request, Purchase Order and any related procurements matters.
  • Performs Goods Received Note (GRN) in systems.
  • In charge person for the petty cash claims.
  • Liaise with HR coordinate and monitor all staff related matters like salary, dormitory matters, passport collection & work permit matters etc.
  • Manage and maintaining the attendance submission report through Electronic Time Management System (E-TMS) for overtime claims/attendance/allowance.
  • Assist FM in conducting on-site HR Induction. Liaise with HQ on resignation/termination/promotion or any other staff related matters with HQ.
  • Work with Safety officer & WSH officer in HQ for the staff vaccinations matters and core trade renewal or new application.
  • Ensure key in accurate HRMS updates for leave/claims.
  • Ordering of pantry/stationary/uniform/name cards/office inventory/office refreshments
  • Organize and provide supports staff birthday/ Quarterly lunch/ staff events
  • Responsible for operations support – preparation of meeting materials, document control, data entries, filling /scanning & photocopy of documents as necessary.
  • Assist in compilation and preparation of week/monthly/ad hoc reports.
  • Ensure safety and quality assurance to all works carried out by the site team.
  • Ensure site teams are complied with all safety related matters.
  • Undertake any ad-hoc assignment requested FM which may be delegate as operational needs.
  • Ensure information disseminated are consistent, structured and updated versions.
  • To maintain good housekeeping of office
  • Any other tasks, when required by Facilities Manager

Job Requirements

  • ‘O’ level or equivalent with relevant experience
  • Effective communicator and problem solver on staff issues
  • High level of accuracy and attention to detail
  • Able to adapt in a fast pace & challenging environment
  • Able to work independently and in a team
  • Conversant in Microsoft Office Suites
  • Comfortable to be working in a healthcare environment
