Job Purpose

As an Administrative Support Officer, Knowledge Management and Administration (KMA), Integrated Operations Hub you will be a key member to provide the administrative support, tracking and management of procurement services for the department.

 

Duties and Responsibilities: 

a. Department coordinator for all IO huddles, department updates, procurement and workplan matters related to IOH. 

b. Department Champion for IOH, serving as the main coordinator and administration support for IOH. The key roles as a department champion will include, but not limited to:

 i. To assist Department Head to maintain and monitor the department workplan status. 

ii. Manage entire end-to-end process for IOH’ procurement from reviewing of specifications, engaging users, performing tender evaluation, writing approval papers, seeking approval from relevant approving authority, data entry and documentation etc till award of tenders. 

iii. Tracking and planning of the department budget in collaboration with SDC finance team and Integrated Services using GeBIZ and iFast systems. 

iv. Department Records Officer managing all Records Management of IOH projects and files to ensure the documentations adhere to guidelines set my IM4L. 

v. To be the main point of linkage for procurement matters within Department and ISO/OPD.

 vi. Contribute towards continuous refining of procurement processes for compliancy while enhancing cost and operational efficiencies, as part of Change Management.

 vii. Provide reports, updates and ensure compliance with SDC’s documentation, information & records management.

 viii. Participate in audit by both internal and external agencies. 

c. Coordinator for staff meals for all IO units during festive periods and events. 

d. Any other tasks as assigned.

 

Requirements: 

a. Minimal ITE / N Levels certification. 

b. Minimum 1 year experience in administrative roles. 

c. Proficient in Microsoft Office especially in Word, Excel, and Powerpoint with digital-readiness mindset against cyberthreats
