Job Description - Bank Receptionist & Facility Management (12 months)

Job Description: 

  • Manage mail, courier services, and distribution of letters/newspapers.
  • Greet visitors and offer refreshments.
  • Maintain cleanliness and organization of the reception and meeting areas.
  • Monitor wine chiller inventory.
  • Oversee staff onboarding and offboarding, including desk setups, name card printing, and announcements.
  • Handle PDPA data collection for vendors, staff, and third parties.
  • Submit monthly postage reports and ensure sufficient funds and supplies.
  • Order stationery, printing materials, and pantry supplies bi-monthly.
  • Coordinate printing needs for company documents.
  • File and verify invoices and contracts for services.

Facility Management & Compliance:

  • Manage daily operations, service requests, and liaise with building landlords/vendors for facility tasks.
  • Coordinate with contractors/vendors for contract renewals, issue resolution, and facility maintenance.
  • Ensure follow-up on contractors/vendors.
  • Manage security access, including door cards, surveillance, and entry passes.
  • Submit monthly security access reports.
  • Ensure premises security with annual checks of extinguishers and hose reels.
  • Update and align regulations with the SG Branch GA P&P & manual annually.

Office Administration:

  • Oversee fixed assets, meeting room bookings, and reporting.
  • Manage office keys, memo request serial numbers, and contract storage.
  • Arrange and renew corporate car rentals and parking.
  • Review and renew office insurance policies.
  • Assist with staff equipment requirements and implement solutions.
  • Manage colleague needs such as hotel bookings.
  • Maintain staff listings and coordinate offsite document storage.
  • Support annual orders for HQ and festive occasions.

Staff Welfare:

  • Assist with organizing company events and staff welfare activities, including Dinner & Dance, team building, webinars, and ordering flowers for staff (e.g., for newborns or wreaths).

 

Job Requirement: 

  • Minimum 2 years of relevant experience as a receptionist/office admin manager 
  • Must have experience in reception/facility management co-ordination/office admin
