The role supports the Human Resources (HR) function by planning, coordinating, and executing internal and external HR events. This includes end‑to‑end event logistics, vendor coordination, on‑site management, and administrative support to ensure smooth delivery of HR-led programmes, ceremonies, workshops, and employee engagement events.
Event Planning and Coordination
Support the planning and scheduling of HR events (e.g., employee engagement events, leadership events, onboarding activities, award ceremonies, training events, external HR-hosted events).
Develop event plans, run sheets, logistics checklists, and timelines.
Logistics Management
Coordinate venue bookings, room setups, AV needs, catering, transportation, registration, and other logistic requirements.
Manage procurement processes including sourcing vendors, obtaining quotations, and supporting contract administration.
On‑Site Event Operations
Oversee event setup, registration, ushering, programme flow, and teardown.
Serve as an on‑site point of contact to troubleshoot operational issues and ensure smooth execution.
Vendor and Stakeholder Engagement
Liaise with internal stakeholders (e.g., HR teams, L&T, C&B, TAE) to understand event requirements.
Coordinate with external vendors (e.g., event agencies, suppliers, caterers, photographers) to deliver event components.
Event Materials and Collateral
Support the preparation of event materials such as agendas, name tags, briefing kits, presentation decks, and signage.
Work with internal teams or vendors to produce printed or physical collateral.
Administrative and Budget Support
Assist with event budgeting, cost tracking, and invoice processing.
Maintain records of event assets, logistics inventories, and event archives.
Post‑Event Activities
Conduct post-event evaluations and feedback summaries.
Document learnings, consolidate photos/materials, and update internal records
