Position Overview:
Reporting to the Document Management Lead, you will be part of the corporate support & project documentation team to provide project teams with documentation control and application support. You will also be responsible for maintenance, housekeeping and updating of internal document application.
Responsibilities:
- Develop Corporate Project or Technical Standards and Procedure for Document Management/Information Management.
- Customization of Corporate/Project Document Management System (ProArc, etc.).
- Document Management Environment Setup (Corporate, Project).
- Administration of DMS users.
- DMS Troubleshooting.
- Management of Corporate/Project Documents.
- Reporting of Document Status and Project Progress.
- Generate Project Handover Document/Dossiers.
- Other ad-hoc activities as per Corporate or Project Management Instruction.
- Work closely with the various teams and HQ on documentation processes and program updates.
- Liaise with project teams, engineers, and other stakeholders to ensure that document requirements are met.
- Assist Project and Engineers to verify document identification points (e.g., document numbers, revision numbers, page numbers, etc.).
- Identify errors in document identification points and correct these errors as necessary.
- Perform quality checks on incoming and outgoing documents to ensure they meet required standards.
- Upload/Download documents from document management system as required.
- Monitor document submission deadlines and coordinate the process with Project.
- Responsible for document submission to external, internal teams and clients.
- Generate and distribute document control reports to the project team, such as status updates.
Requirements:
- Tertiary education preferably in business administration and/or related.
- Minimum 5 – 7 years and above of document control/management experience in oil & gas industry preferably from offshore EPCI(O) and/or FPSO/FSO related aspect.
- Experience with setting up/using EDMS application (e.g. ProArc, etc.) will be advantageous.
- Experience in working with databases would be added advantage.
- Proficient in MS Office.
- Organized and meticulous individual who is able to work independently.
- Detail-oriented individual who enjoys working with structure and processes.
