Job Description - Executive Admin Assistant - Generous Compensation

We are on the lookout for a competitive Executive Admin Assistant to join our exceptional team at OUE Limited in Orchard, Central Region.

Responsibilities

1. General Workplace Management

  • Maintain a conducive working environment and smooth running of the office on daily basis. 
  • Ensure all office equipment, furniture and fittings, etc are in good working condition. 
  • Attend to any complains or “defects” within the office, to be rectified urgently
  • Maintain and monitor company’s assets and equipment
  • Maintain and monitor a list of company’s service providers and contractors including liaison with the company’s office Landlord and Building Manager

 

2. Administer Employee Matters across Departments

  • Coordinate general employee matters across departments and with Group HR, IT, etc
  • Assist to provide reception to company visitors and 
  • Liaisons with external parties and business associates of the company

 

3. Business Travel Arrangement

  • To provide seamless arrangement for staff travelling overseas. 
  • Efficient coordination in arranging itineraries (flights, visas, accommodation, transportation, entertainment) promptly and effectively.

 

4. Supporting Duties 

  • Providing general admin and logistics support to the Property, Finance, Investor Relation and Compliance Officer
  • Updating and following up of Asset Management Reports and etc
  • Providing general admin support to the Property Team
  • Ensure all invoices are tracked and submitted to finance department upon receipt to avoid delays in payment.

 

Requirements

  • Minimum 'N'/'O' Level education with a minimum of 1 year of experience in a similar role
  • Prior experience in the real industry is advantageous 
  • Proficient in Microsoft Office (MS Excel/PowerPoint/Word)
  • Ability to work under pressure and adaptable to changes
  • Demonstrates a positive attitude, responsibility, and teamwork
  • Able to work effectively with minimal supervision
