Manage Planning and Scheduling Operations
• Lead and manage a team of Schedulers to ensure maximum number of classes are scheduled with resources available:
- Develop annual scheduling plan for each product type.
- Coordinate resources (e.g. venues/licenses/trainers/equip) to book schedule.
- Track and monitor the enrolment rates.
- Respond, monitor and follow up on unplanned scheduling requests.
- Monitor and report on utilisation rate, cancellations and sufficiency of capacity.
- Work with stakeholders to inform learners on class postponement or cancellations.
• Ensure administrative activities are completed timely:
- Course code creation in the system.
- Processing of payment to Trainers (honorarium).
- Assignment/Un-assignment of Zoom licenses to virtual-led Trainers.
• Perform data-driven analysis to plan and optimise resources:
- Analyse trends to classify courses based on slow/fast movers, and evergreen demand.
- Analyse trends to determine sufficiency of resources/capacity.
- Analyse trends to determine and optimise utilisation by time periods and venues.
- Perform cost-benefit analysis to prioritise resource allocations.
- Perform forecasting to ensure schedules closely matches market demand.
- Review data with Heads of Products to cater to any market correction.
Manage Stakeholders
• Lead weekly/monthly forecast reviews with respective Heads of Products and Sales.
• Present monthly statistics to management at operations and management conferences.
• Communicate with stakeholders to provide prompt and relevant updates.
• Review feedback from internal stakeholders on planning and scheduling improvements.
• Evaluate stakeholder needs, priorities and manage their expectations and feedback.
• Establish and strengthen long-term stakeholder relationships.
Support Product and Services Improvements
• Conduct frequent reviews of trainer and equipment availability with Heads of Product.
• Conduct frequent reviews of classroom capacity planning with Head of Facilities.
• Conduct frequent reviews of customer needs with Head of Corp/Consumer Sales.
• Provide feedback to internal stakeholders.on venues, service delivery and trainers.
• Provide feedback to internal stakeholders on take-up rates and cancellations.
Support Human Resource, Technology and/or Finance Operations
• Lead financial budgeting process for infrastructure resources and scheduling activities.
• Monitor manpower utilisation and ensure manpower is correctly sized to workload.
• Drive cross-training efforts to ensure staff are multi-skilled and cross-deployable.
• Drive and support corporate governance measures.
• Manage recruitment and retention efforts in the dept.
• Champion continuous improvement and productivity projects within the dept.
• Develop workplace technology approaches for productivity improvement and innovation.
• Collaborate and work together on joint projects with other Ops teams and/or Depts.
Drive Organisational Performance
• Define common goals, direction and accountability.
• Oversee talent, performance management and manpower planning for the dept:
- Conduct manpower resource planning based on business and demand analyses.
- Manage the recruitment and selection of new staff,
- Develop staff through ongoing coaching, mentoring and career discussion,
- Create succession planning and long-term resourcing across the organisation,
• Implement enterprise risk management, business continuity and mitigation plans
• Establish organisational quality assurance philosophy and policies.
• Establish and achieve scheduling targets within the financial budget allocated.
Manage Vendors
• Track and feedback partner/venue performance.
• Escalate contractual and performance issues with internal stakeholders.
Requirements:
• At least 10 years of experience in leading teams in the planning or scheduling function to maximise capacity utilisation.
• Strong foundation in data analytics, trend analysis and forecasting.
• Good understanding of commercials and profitability.
• Good stakeholder engagement and relationship management.
• Good communication and presentation skills.
• Able to generate insights from complex data and explain with succinct simplicity.
• Self-starter and entrepreneurial, able to roll up sleeves and work in a fast-paced environment.
• Experience in schedule planning in airline passenger/cargo, transportation or production welcomed.
• Experience in the use of visualisation tools such as Power BI or Tableau.
• Experience in the use of Microsoft Power Platforms (Power Automate, Power Apps, SharePoint).
• Experience in the application of Lean or Six Sigma to improve efficiencies.
