Job Description - HR Administrator

The Role:

 

The HR Administrator is in charge of all HR & administrative work and is responsible for the overall operations of the office. He is responsible for welfare of the employees. He welcomes visitors and makes sure everyone knows where things are. He may also answer phones and emails for the company.

 

The HR Administrator provides support to employees in the office and works with the CHRO to ensure the office operations work efficiently. He is responsible for ensuring every employee has what they need to do their job.

 

Job Responsibilities:

 

  • Provide executive secretarial support to the CHRO
  • Assist in interview arrangements
  • Provide on-boarding program support to enable a positive onboarding experience for new joiners
  • Monitoring attendance and leave management
  • Managing employee welfare and benefits
  • Assist in organizing social events and internal meetings
  • Provide off-boarding support
  • Reception duties: answering the phone, mail, dispatch & delivery services, and welcoming guests.
  • Manage service providers for office facilities (e.g. cleaning, photocopier machines, plants, etc)
  • Ensure all facility-related issues raised are being resolved in a timely manner to ensure the highest level of staff experience
  • Build travel itineraries and manage travel bookings for all staff
  • Assist with necessary travel visa applications
  • Maintain travel records and prepare reports to stakeholders
  • Act as the contact person for liaison with office building management 
  • Act as a fire warden and first aider for the office; attend training and manage fire evacuation drills and first aid response.
  • Maintain inventory of the pantry and stationery supplies and company-issued equipment.
  • Any other ad hoc duties assigned

 

Job Requirements:

 

  • GCE ‘A’ Level, Higher Nitec or Diploma in Human Resource / Business Administration / Accounting
  • At least 2 years’ of experience in managing office administration
  • Bilingual in English and Chinese to handle English-Chinese translation
  • Good communication skills, good teamwork skills
  • Strong sense of responsibility.
  • Proficient in Microsoft Office (Words, Excel, Powerpoint)
  • Highly organized, detailed oriented and deadline focused
  • Excellent problem-solving and time-management skills
