Job Purpose
The incumbent will be supporting the HQ Partnering department on the day-to-day administrative HR functions. This includes arrangement of interviews, onboarding and offboarding admin, and general clerical support for various HR cyclical processes.
Job Responsibilities
1. Facilitates recruitment administration needs
- Coordinate interview arrangements, assist in administering pre-interview on-site and online tests to candidates, where necessary
- Maintain recruitment tracking report on candidates' interview outcomes and send rejection emails where necessary
2. Provides administrative support for onboarding and offboarding of staff
Onboarding
- Collect and consolidate new hire's documents for onboarding
- Application of work passes for foreign hires via myMOM portal
- Facilitate new hires' e-declarations
- Coordinate welcome write-up for new hires
Offboarding
- Coordinate offboarding logistics including but not limited to - system updates, prepare acknowledgement of resignation to staff, generate necessary reports for audit records purposes
- Weekly consolidation and update of attrition list
- Deactivate staff from corporate benefits platforms
- Cancellation of work passes via myMOM portal
3. Performs ad-hoc administrative support as and when required
- e-filing of employee documents
- Raise invoice payment requisitions for finance's processing
- Monthly update of organisation chart and structure
- Order staff welfare items from florist vendor
- Management of central mailbox
- Update all employee data changes in SuccessFactors (SF) system, including but not limited to, effecting payments for staff reimbursement and leave management
- Renewal of work passes for foreign hires via myMOM portal
- Assist in coordination of service award presentation
- Any other duties as assigned
Job Requirements
Diploma in any field.
- Some admin experience would be advantageous
- Proficient in MS Office
- Meticulous, pro-active, and able to multi-task
- Ability to work in a fast paced and dynamic environment
- Team player and independent
