HR and Business Manager – Job Description
Overall Responsibilities
To provide all necessary support the Directors (Directors, Technical Directors & Associate Directors) with the overall running of the business with a specific focus on Singapore (and it’s APAC region) but also, from time to time, as part of the global Group management team.
Ensure the company has the adequate and suitable resources to complete its activities
Ensure the efficiency of business operations
Prepare reports and other ad-hoc documentation as required by Directors
Manage overall Office non-technical operations
Key Tasks: (both local and in collaboration with global Group resources)
Administration
Monitor, review, update any administration systems
Liaise with brokers and renew any insurances
Record and monitor holiday requests / medical leave / staff attendance (working from home, working remotely etc)
Book Event/function/meals/travel bookings
Commercial
Contracts & Agreements – liaise with in-house specialists to review and comment, act as interface between in-house and client teams.
Fee Bids – Assist Directors in collating documents required for new bids and updates / rewrites as required
Marketing material – with collaboration with Directors and key technical staff on content, create / manage marketing and profile documents, project description logs etc to be used for all marketing material
Finance
Manage all payments and receipts in respect of Singapore bank accounts to ensure invoices, salaries, bill payments are proper and prompt.
Manage invoicing and payment tracking in respect of projects that are lead by Singapore but where contracts are placed through other regional B&W entities (Philippines & Malaysia currently, but more will be added).
Manage inter-company invoicing and billing processes to ensure that correct balance of accounts is achieved between the various B&W offices for “services provided to other offices” and “assistance received from other offices”.
Maintain financial records relating to AR/AP functions such as cash flow forecasts
Review quarterly GST and yearly financial reports
Create external and inter-company invoices
Human Resources
Perform the full spectrum of HR activities such as personnel administration (proper records organization), salary administration, employee movement (transfers / promotion / confirmation / resignation) processes, employee benefits and any such activities.
Undertake PDRs for all support staff and support the PDR process for technical PDR’s as per the agreed office PDR reporting lines.
Supervise the work of employees and provide feedback and counsel to improve efficiency and effectiveness
Health Insurance – Arrange quotes, manage renewal or arrange new cover
Health insurance – ensure all employees are compliant with regional regulations
Prompt payment of Payroll, reporting of monthly CPF contributions, yearly IR8A, NS claims, maternity claims
Support HR operations including onboarding and offboarding, benefits administration, work pass application and renewal, claims and grants applications
Management
Marketing Calendars – Industry events (awards / conferences), scheduling business development meetings and associated arrangements
Internal – initiate/manage internal staff social events
CSR – coordinate and manage any CSR activity
Business Management – support for new markets / office openings / business set-up / legalities
Marketing Calendars - Client events – organize / manage any client events / represent the company at events
Corporate Insurance Policies – manage all corporate insurance policies and negotiate renewals and ensure compliance with client requirements
Office Lease renewal - Coordinate quote/lease agreement to final sign-off
